Job Description

About the Role:

The Warehouse Officer reporting into the Warehouse Manager will be responsible for efficient warehouse operations across Raw Materials (RM), Packaging Materials (PM), and Finished Goods (FG). The role ensures accurate inventory control, seamless inward/storage/dispatch processes, system compliance through Microsoft Dynamics 365, and adherence to food safety and operational excellence standards.

Duties & Responsibilities:

Inventory Management & Controls

  • Ensure accurate inventory management of RM, PM, and FG through system-driven controls in Microsoft Dynamics 365.
  • Monitor stock levels and maintain optimum inventory to support uninterrupted plant operations.
  • Conduct regular cycle counts, physical stock verification, and investigate inventory variances.
  • Ensure timely closure of all system transactions for receipts, issues, transfers, returns, and dispatches.
  • Maintain inventory accuracy targets and drive continuous improvements.

Warehouse Operations

  • Plan and manage inward, storage, and dispatch operations to ensure timely material availability and on-time customer deliveries.
  • Supervise unloading, put-away, picking, packing, and loading activities.
  • Optimize warehouse layout, space utilization, and material flow to improve efficiency and reduce handling time.
  • Ensure proper identification, labeling, binning, and traceability of all materials.

Material Handling & Storage Compliance

  • Ensure proper handling, storage conditions, and segregation of materials as per defined quality, food safety, and regulatory standards.
  • Enforce FIFO/FEFO practices to minimize expiry, obsolescence, and inventory losses.
  • Ensure temperature-sensitive or special storage materials are managed as per specifications.
  • Maintain warehouse hygiene and pest-control readiness in coordination with EHS/Quality teams.

Cross Functional Coordination

  • Coordinate closely with Production for daily material requirements and ensure uninterrupted line supply.
  • Align with Procurement for inbound planning and supplier deliveries.
  • Coordinate with Logistics for dispatch scheduling, vehicle planning, and timely deliveries.
  • Support Quality team during material inspection, holds, rejections, and release processes.

Process Excellence & Governance

  • Ensure implementation and sustenance of 5S across warehouse operations.
  • Maintain SOP compliance, documentation, and audit readiness for internal/external audits.
  • Track warehouse KPIs such as inventory accuracy, dispatch OTIF, productivity, damages, and space utilization.
  • Drive continuous improvement initiatives in safety, cost, service, and productivity.

Team Supervision

  • Guide warehouse operators, forklift drivers, and contract manpower for daily execution.
  • Ensure discipline, productivity, safety compliance, and manpower utilization.

Qualifications and Experience:

  • Graduate in any discipline.
  • Diploma / Certification in Materials Management, Supply Chain, or Warehouse Management preferred.
  • 5–8 years of experience in warehouse operations within food manufacturing, FMCG, ingredients, chemicals, or related industries.
  • Hands-on experience in RM, PM, FG warehouse management in a manufacturing setup.
  • Experience using ERP systems, preferably Microsoft Dynamics 365.

Knowledge, Skills and Abilities

  • Strong inventory control and reconciliation skills
  • Knowledge of FIFO / FEFO / batch traceability
  • Warehouse planning and dispatch coordination
  • Good understanding of food safety / GMP / hygiene standards
  • MS Excel and ERP proficiency
  • Team handling and stakeholder management
  • Problem solving and analytical skills
  • High ownership and execution focus
