A growing importer and distributor of J&B Brand Bearings and industrial products, JNB Bearings Pvt Ltd serves customers across South India with an active inventory of 400+ SKUs spanning bearings, plummer blocks, oil seals, sleeves and more. We manage operations through modern technology platforms including Zoho Inventory.

We are growing fast and need a detail-oriented, system-driven Warehouse & Inventory Executive who can own inventory accuracy, purchase coordination, dispatch operations, and real-time stock visibility.

Role Purpose

Responsible for maintaining inventory accuracy, warehouse discipline, and system integrity in coordination with warehouse and operations teams. The role covers end-to-end inventory control — from goods inward and purchase follow-ups to dispatch and inventory replenishment planning — using Zoho Inventory as the primary system of record.

Software Knowledge Required

• Zoho Inventory — inward, outward, transfers, stock adjustments, reports

• Microsoft Excel — stock tracking, MIS, daily reporting

• Barcode Scanning Systems (if applicable)

• Basic ERP / WMS Knowledge

Preferred

• Vendor Follow-up & Material Planning

• Purchase Requisition Processing

• Zoho Books Integration with Inventory

• Zoho Analytics for Inventory Dashboards

Additional Preference: Candidates with hands-on experience in Zoho Inventory AND Zoho Procurement (Purchase Orders, Vendor Coordination, Material Planning, and Inventory Replenishment) will be given first preference during the selection process.

Key Responsibilities

1. Inventory Management

• Maintain accurate inventory records in Zoho Inventory with a target inventory accuracy of 98%+

• Monitor stock levels, reorder alerts, and safety stock thresholds

• Track all inward and outward stock movements in real time

• Manage stock transfers between locations and inventory adjustments

• Conduct ABC analysis to prioritise fast-moving, slow-moving, and dead stock

• Identify and report slow-moving and dead stock to management

• Monitor non-moving, slow-moving, and excess inventory and provide recommendations for liquidation, promotions, or stock optimisation

2. Goods Receipt & Inward Operations

• Verify incoming goods against supplier packing lists and purchase orders

• Record GRN entries in Zoho Inventory accurately and promptly

• Report and document shortages, damages, and discrepancies

• Coordinate with the purchase team on supplier deviations

3. Dispatch & Outward Operations

• Process customer orders and generate packing lists

• Ensure accurate picking, packing, and dispatch

• Update dispatch status and outward entries in Zoho Inventory

• Coordinate with logistics partners for timely delivery

4. Purchase Coordination Support

• Follow up on pending purchase orders with suppliers

• Coordinate with suppliers regarding dispatch schedules and ETAs

• Track expected material arrivals and update team accordingly

• Assist in inventory replenishment planning based on reorder levels

• Coordinate with the Purchase Department to address stock shortages

First Preference: Candidates with practical experience in Purchase Order Processing, Vendor Follow-up, Material Planning, Inventory Replenishment, and Zoho Procurement will be given first preference.

5. Stock Verification

• Conduct daily stock checks for fast-moving SKUs

• Conduct monthly full physical stock audits

• Maintain monthly inventory variance within 1% (target: less than 1% monthly stock variance)

• Investigate and resolve inventory variances promptly

• Submit periodic discrepancy and reconciliation reports

6. Warehouse Organisation

• Maintain FIFO principles for all inventory movement

• Apply ABC classification and reorder level discipline consistently

• Ensure proper storage, labelling, and racking of 400+ bearing SKUs

• Maintain cleanliness, safety, and organisation of warehouse space

7. Documentation & Reporting

• GRN preparation and filing

• Daily stock, dispatch, and inward/outward MIS reports

• Inventory replenishment and reorder reports

• Variance, adjustment, and dead stock reports

8. Cross-Team Coordination

• Sales Team — order fulfilment and stock availability updates

• Purchase Team — inward coordination, PO follow-ups, and supplier queries

• Accounts Department — GRN and billing reconciliation

• Logistics Partners — dispatch and delivery coordination

• Complete all monthly physical stock audits on time with zero backlog

• Own the inventory replenishment planning cycle independently

Working Schedule

Monday to Saturday — 9:30 AM to 6:30 PM or 10:00 AM to 7:00 PM (any one shift)

Candidate Profile

Mandatory Requirements

• Minimum 2 years hands-on experience in warehouse or inventory operations

• Demonstrated experience using Zoho Inventory (non-negotiable)

• Experience in stock management, dispatch, and inward/outward operations

• Proficiency in Microsoft Excel
