About the Role:
We are seeking a results-driven Operations & Warehouse Manager to take full ownership of our outsourced warehouse and logistics operations. This role demands strong leadership in managing third-party partners, ensuring flawless inventory control, timely order fulfillment, and efficient reverse logistics. The ideal candidate will drive operational excellence while maintaining cost-effectiveness and superior customer satisfaction.
Key Responsibilities:
Warehouse & Inventory Oversight
- Drive end-to-end control of stock management and warehouse activities handled by third-party partners to ensure operational excellence.
- Enforce strict adherence to SLAs for storage, handling, and dispatch operations executed by the 3PL partner.
- Ensure 100% stock accuracy through continuous monitoring, timely reconciliations, and periodic audits.
- Proactively plan and monitor inbound and outbound movements to avoid stockouts, overstocking, or delays.
- Guarantee apparel products are managed with care, maintaining quality standards throughout the storage and dispatch process.
Logistics & Order Fulfillment
- Oversee the complete order fulfillment cycle, from warehouse dispatch to final delivery.
- Establish accountability with logistics partners to ensure timely and error-free deliveries.
- Closely track shipments, resolve delivery exceptions, and ensure strict compliance with TAT commitments.
- Directly manage return and reverse logistics to maintain customer satisfaction and operational efficiency.
Purchase Order Creation & Vendor Coordination
- Independently create and manage Purchase Orders (POs) for transferring goods from vendors to the warehouse.
- Ensure accurate PO details, including SKUs, quantities, and timelines, before dispatch.
- Coordinate directly with vendors and the 3PL partner to arrange shipment and inwarding of goods.
- Track movement of goods from vendor to warehouse, ensuring timely delivery and proper documentation.
- Immediately resolve any quantity or quality discrepancies between POs and received stock.
Catalogue & Marketplace Management
- Manage product catalogues on Shopify and other online marketplaces with 100% accuracy.
- Ensure timely updates of product listings, pricing, inventory levels, and content across all platforms.
- Coordinate with internal teams (design, merchandising, marketing) to keep catalogues updated with new launches, stock status, and seasonal changes.
- Monitor catalogue performance and ensure consistency of brand representation across channels.
Warehouse Platform Administration (EasyEcom)
- Take full ownership of the EasyEcom platform for managing inventory, orders, and warehouse operations.
- Ensure smooth integration of EasyEcom with Shopify, marketplaces, and courier partners.
- Monitor dashboards, reports, and system alerts to proactively address discrepancies in stock, orders, or dispatch.
- Train and guide internal teams on using EasyEcom for order tracking, returns, and reconciliations.
- Coordinate with the EasyEcom support team for issue resolution and system upgrades.
Operations & Process Optimization
- Define and enforce robust SOPs across warehouse and logistics partners to guarantee seamless operations.
- Monitor KPIs including order accuracy, fulfillment speed, delivery performance, and return rates; initiate corrective actions wherever needed.
- Continuously analyze operational data to identify cost-saving opportunities and process improvements.
- Partner with internal teams (customer service, merchandising, accounts) to swiftly resolve operational challenges.
Vendor & Partner Management
- Lead and manage strategic relationships with warehouse and logistics partners, ensuring strict SLA compliance.
- Negotiate service terms and costs to drive efficiency without compromising service quality.
- Act as the escalation point for all partner-related issues and ensure timely resolution.
- Conduct performance reviews with 3PL and courier partners to drive accountability and continuous improvement.
Reporting and Compliance
- Deliver accurate and timely MIS reports covering inventory, order fulfillment, and logistics performance.
- Ensure compliance with company policies, legal requirements, and industry best practices across all outsourced operations.
- Own governance of operational processes with a focus on transparency, accountability, and continuous enhancement.
Qualifications & Skills Required:
- Bachelor's degree in Supply Chain, Operations, Business Administration, or related field (MBA preferred).
- 8-12 years of proven experience in operations, warehouse, or logistics management within e-commerce or apparel industry.
- Hands-on experience in managing outsourced warehouse/3PL partners is essential.
- Strong working knowledge of catalogue management on Shopify/marketplaces and warehouse/order management platforms (e.g., EasyEcom).
- Experience in vendor coordination and purchase order management, including inventory inwarding and documentation.
- Proficiency in Excel, MIS reporting, and familiarity with WMS/ERP systems.
