Workspend is a global Managed Service Provider (MSP) and workforce solutions company specializing in contingent workforce management and Vendor Management System (VMS) programs. We partner with enterprise clients to optimize talent acquisition, drive cost savings, and improve visibility and compliance across their extended workforce.

Role Overview

The VMS Operations Specialist is responsible for the day-to-day technical and operational management of our Vendor Management System platforms (e.g., Beeline, Fieldglass, VNDLY, SimplifyVMS).

You will serve as the technical SME and primary point of contact for VMS-related issues, ensuring the platform is stable, optimized, and aligned with client program goals. This role combines hands-on technical work, problem-solving, user support, and continuous improvement.

Key Responsibilities

  • VMS Platform Operations
  • Oversee the daily operations and performance of the VMS platform, ensuring stability, uptime, and optimal user experience.
  • Perform system administration tasks, including configuration, user management, workflow updates, and data validations.
  • Stakeholder Support & Issue Resolution
  • Act as the primary technical point of contact for clients, suppliers, and internal teams for VMS-related inquiries.
  • Troubleshoot and resolve issues related to configuration, reporting, integrations, and UI discrepancies in a timely manner.
  • Support User Acceptance Testing (UAT), including test case execution, issue tracking, and coordination with development/implementation teams.
  • Enhancements, Configuration & Continuous Improvement
  • Collaborate with product, development, and implementation teams to define, prioritize, and implement enhancements, upgrades, and new features.
  • Assist in updating reporting fields, workflows, and configurations to meet evolving client/business requirements.
  • Continuously monitor platform performance and usage to identify opportunities to improve efficiency, data quality, and user adoption.
  • Quality Assurance & Governance
  • Conduct regular system audits and quality checks to ensure data integrity, configuration accuracy, and compliance with program standards.
  • Document and track bugs or technical issues, working with technology teams and/or vendors to drive resolution.
  • Documentation, Training & Best Practices
  • Create and maintain up-to-date technical documentation, SOPs, user guides, and training materials.
  • Develop and promote best practices for VMS usage, configuration, and data management.
  • Deliver training to internal teams, clients, and suppliers via webinars, workshops, and 1:1 or group sessions.
  • Market & Technology Awareness
  • Stay current on VMS platforms, contingent workforce technology trends, and relevant regulatory changes.
  • Proactively recommend improvements or innovations that enhance the value of Workspend's VMS-enabled programs.

Qualifications

Education

  • Bachelor's degree in Computer Science, Information Technology, or a related field (or equivalent practical experience).

Experience

  • 2+ years of experience working with Vendor Management Systems or related platforms (e.g., Beeline, Fieldglass, VNDLY, SimplifyVMS).
  • 5+ years of experience in technical support, system administration, or application support, with a track record of handling complex issues and contributing to system improvements.
  • Experience in the staffing, MSP, or workforce solutions industry is a strong plus.
  • Technical Skills
  • Strong skills in system configuration, administration, and troubleshooting for SaaS platforms.
  • Comfort working with data (reports, exports, validations) and a solid understanding of how data flows through enterprise systems.
  • Familiarity with testing (UAT), defect tracking tools, and basic project management practices.
  • Soft Skills
  • Exceptional problem-solving and analytical skills with a strong attention to detail.
  • Clear, confident communication skills, able to explain technical concepts to non-technical users and collaborate with multiple stakeholders.
  • Ability to prioritize, multitask, and meet deadlines in a fast-paced, client-driven environment.
  • Proactive, self-motivated, and comfortable working both independently and as part of a distributed team.

Other

  • Must be available to support clients 9:00 a.m. 5:00 p.m. EST, MondayFriday.
  • Certifications or formal training in VMS platforms (Beeline, Fieldglass, VNDLY, SimplifyVMS) or related technologies are a plus.
