Key Responsibilities

Visa Processing & Case Management

  • Handle and coordinate end-to-end visa applications across multiple countries for leisure, business, family, and group travel.
  • Assess visa requirements based on nationality, passport validity, travel history, and destination-specific regulations.
  • Prepare, review, and submit visa applications ensuring 100% accuracy and compliance.
  • Manage high-volume and high-priority applications simultaneously while maintaining strict turnaround timelines.
  • Track application status, appointments, biometrics, and outcomes through structured trackers.

Knowledge Management & Regulatory Monitoring

  • Continuously monitor and stay updated on visa regulations, embassy advisories, geopolitical changes, and global current affairs impacting travel.
  • Maintain an up-to-date internal visa knowledge repository with country-wise requirements, timelines, and risk flags.
  • Proactively flag potential visa risks to Operations, Sales, and clients during the planning stage.
  • Conduct periodic internal briefings or updates to keep teams informed of key visa changes.

Embassy & Partner Relationship Management

  • Build and maintain strong working relationships with embassies, consulates, VFS centers, visa facilitation partners, and authorized agents.
  • Liaise directly with embassy officials and senior visa partners to manage complex, urgent, or sensitive visa cases.
  • Escalate issues professionally and proactively to minimize rejections, delays, or disruptions to travel plans.
  • Negotiate expedited appointments, priority processing, or alternative solutions where applicable.

Client Communication & Service Excellence

  • Serve as the primary point of contact for visa-related communication for luxury and high-profile clients.
  • Explain visa processes, timelines, risks, and documentation requirements clearly and confidently.
  • Manage client expectations with empathy, transparency, and professionalism.
  • Handle escalations and visa-related concerns with a calm, solutions-oriented approach.

Process Improvement & Compliance

  • Establish and refine standard operating procedures (SOPs) for visa processing and documentation.
  • Implement multi-level checks to ensure zero-error submissions.
  • Maintain compliance with data protection, confidentiality, and embassy regulations.
  • Identify opportunities to improve efficiency through tools, trackers, or automation.

Team Support & Training

  • Mentor and guide junior visa coordinators or operations team members on visa best practices.
  • Act as the subject matter expert for all visa-related queries within the organisation.
  • Support cross-functional teams (Sales, Operations, Ticketing) during itinerary planning and execution.

Entry Rules, Travel Compliance & Due Diligence

  • Monitor and validate entry requirements for all confirmed trips, including visa status, passport validity, blank pages, transit rules, vaccination requirements, health declarations, and country-specific regulations.
  • Ensure all pre-travel checkpoints are completed well in advance of departure to avoid last-minute issues at airports or borders.
  • Proactively flag and resolve potential entry risks, including transit visa requirements, nationality-based restrictions, or policy changes due to geopolitical or regulatory updates.
  • Coordinate with Operations and Ticketing teams to ensure alignment between routing, visas issued, and entry permissions.
  • Maintain a destination-wise entry compliance checklist for internal reference and audit purposes.
  • Act as the final authority on travel-readiness clearance before departure, ensuring clients are fully compliant and informed.
  • Communicate any last-minute regulatory changes clearly and promptly to clients and internal stakeholders.

Ideal Candidate Profile:

  • 4+ years of experience in visa processing within luxury travel, corporate travel, or visa facilitation services
  • Proven experience handling complex, high-value, or urgent visa cases
  • Strong network of embassy contacts and visa agents preferred
  • Comfortable working in a fast-paced, client-facing environment
  • Experience with visa portals, VFS systems, and internal trackers
