Role Overview
Macgence is looking for a Vendor Manager to manage and scale external vendors, freelancers, and service partners supporting linguistic, data annotation, and AI training projects. The role is responsible for vendor onboarding, capacity planning, quality control, cost management, and delivery assurance across multilingual annotation programs.
Key Responsibilities
Vendor Sourcing & Onboarding:
- Identify, onboard, and manage vendors/freelancers for linguistic and data annotation work
- Evaluate vendor capabilities across languages, domains, and annotation types
- Negotiate commercials, SLAs, turnaround times, and quality benchmarks
- Maintain vendor documentation, NDAs, compliance, and security standards
Delivery & Execution Management:
- Ensure vendors meet daily/weekly delivery commitments
- Align vendor capacity with project forecasts and execution plans
- Coordinate with internal Operations, QA, and Project teams
- Monitor annotation, review, and QA progress across vendors
Quality Management:
- Enforce annotation and linguistic quality standards
- Track vendor-level KPIs: accuracy, rework rate, throughput, SLA adherence
- Handle quality escalations and corrective action plans
- Ensure reviewers and QA coverage for vendor outputs
Cost & Performance Control:
- Optimize vendor costs while maintaining quality and timelines
- Track invoices, productivity, and utilization metrics
- Support budgeting and cost forecasting for projects
- Drive performance-based vendor evaluations and renewals
Compliance & Risk Management:
- Ensure data security, confidentiality, and client compliance
- Manage access controls and audit readiness
- Identify delivery or quality risks and implement mitigation plans
Reporting & Stakeholder Communication:
- Prepare vendor performance reports and dashboards
- Share risks, bottlenecks, and capacity insights with leadership
- Act as the single point of contact for vendor-related matters
Required Skills & Experience
- Experience in linguistic operations, data annotation, or AI data services
- Strong vendor and stakeholder management skills
- Hands-on knowledge of annotation workflows (text, speech, vision)
- Strong analytical, negotiation, and problem-solving abilities
- Experience using tracking tools (Sheets, Jira, ClickUp, dashboards)
Preferred Experience
- Experience managing multilingual vendors at scale
- Exposure to NLP, ASR, TTS, LLM training data, HITL workflows
- Background in AI, ML, or language data companies
