Job Purpose
To perform PtP activities which include overall managing open items, especially in the area of Vendors and GRIR accounts, reconciliations, monitoring and reducing open items, answering vendor queries, guiding suppliers in case of issues in the way, handling auditor queries, ensuring that process is performed in the line with all Heineken policies and guidance, cooperation with other streams and stakeholders on related query resolution in order to achieve the agreed key performance indicators (KPIs) and performance objectives (PPIs) and service levels (SLAs).
Key Responsibilities
For VAM Junior Analyst:
1) Performs daily tasks (depending on assigned role) in alignment with SOPs and company policies (in case of doubts consults more senior team members),
2) Takes care of reconciliation of open items on vendor's accounts, and reduction of number of open items,
3) Manages and reconciles outstanding, not cleared items on GRIR accounts, to ensure proper clearing,
4) Collaborates with OpCo Users to explain, clarify and reconcile open items,
5) Develops and maintains successful working relationships with vendors and local OpCo, other teams within the HGSS, audit,
6) Responds to queries, requests and phone calls based on agreed timelines and in a good manner according to Heineken standards,
7) Raises and responds to requests from OpCo/HGSS departments in alignment with service management processes,
8) Performs Period End activities, to ensure that sub-ledger is closed on time and according to policies,
9) Prepares regular reports for OpCo Stakeholders, on volumes and metrics as well as key action owners of open positions,
10) Provides basic reports on request with support of senior members of the team
11) Is aware of the KPI/PPI relevant for his/her process,
12) Understands cross-process interdependence and is aware of common cross-process (PTP, OTC, RTR) issues, Created: March 2023 Final / Draft Version: 1.0
13) Has basic process knowledge of Purchase to Pay including its interdependencies with other processes.
Qualifications
Must have (all levels):
• Fluency in English,
• Strong and effective communication, facilitation and presentation skills,
• Very good excel skills,

• Focusing on deadlines, having good organization, multitasking, flexibility,
• Ability to work under time pressure,
• Drive for results,
• Working and prioritizing in an independent way,
• E2E process knowledge of Purchase to Pay including its interdependencies with other processes
• Excellent additional language written and verbal (C1/C2) if applicable
Nice to have:
• Experience in GRIR maintenance and Vendor Reconciliation Process.
• Experience in customer service
For Junior VAM Analyst role:
• Min 1 year of relevant professional experience.
For VAM Analyst role:
• 2-3 years of relevant professional experience.
For Senior VAM Analyst role:
• Above 3 years of relevant professional experience.
