About The Role:
The Payroll Administrator will be based in India and play a critical role in delivering accurate, timely, and compliant payroll operations for North America, including U.S. in-house payroll and outsourced Canadian payroll. This position is responsible for executing end-to-end payroll process and ensuring employees are paid correctly in accordance with applicable regulations and company policies.
Reporting to the North America Payroll Manager, the Payroll Administrator partners closely with HR, Finance, IT, internal stakeholders, external payroll vendors, and relevant jurisdiction agencies to maintain payroll data integrity, resolve issues, and support process accuracy. The role also contributes to continuous improvement initiatives to enhance efficiency, strengthen processes, and deliver high-quality employee experience.
Key Responsibilities
- Execute end-to-end payroll cycle for North America, including U.S. in-house payroll and outsourced Canadian payroll, ensuring accurate, timely, and compliant payroll delivery.
- Review, validate, and reconcile payroll inputs and outputsincluding earnings, deductions, benefits, taxes, and statutory updatesto ensure completeness and accuracy.
- Prepare payroll summaries, reconciliations, and supporting documentation for review by payroll leadership.
- Identify, research, and resolve payroll discrepancies through data analysis and collaboration with HR, Finance, IT, Payroll partners, and relevant local, state, provincial, and federal agencies, as required.
- Coordinate with third-party payroll vendors supporting Canadian payroll to ensure accurate processing, timely issue resolution, and effective service delivery.
- Respond to employee payroll queries promptly and professionally, supporting a positive employee experience.
- Maintain accurate and compliant payroll documentation in line with company policies, audit requirements, and data protection standards.
- Own and maintain payroll process documentation, including standard operating procedures, work instructions, and process flows.
- Identify and implement process improvements, standardization opportunities, and system enhancements to optimize payroll delivery.
- Support payroll reporting, audits, and year-end activities as required.
Required Skills & Experience
- 35 years of hands-on payroll experience, including end-to-end payroll execution.
- Demonstrated experience supporting Canadian payroll, including coordination with outsourced payroll vendors and understanding of Canadian payroll processes.
- Experience supporting U.S. multi-state payroll.
- Proficiency with Oracle Cloud Payroll within Oracle Fusion Cloud HCM Suite or similar platforms.
- Strong Microsoft Excel skills, including lookups, pivot tables, data analysis, and structured reporting.
- Solid understanding of payroll compliance, statutory requirements, and payroll operations.
- Fluency in English (written and verbal) with the ability to clearly communicate payroll concepts.
- Ability to support North America working hours and collaborate effectively across time zones.
- Strong analytical, problem-solving, and organizational skills.
- Ability to work independently and collaboratively in a fast-paced environment.
