Job Description

Role: US Onboarding Specialist

Location: Boss Towers, 2nd Floor, Patrika Nagar, HITEC City, Hyderabad, Telangana 500081 (Onsite)

Experience: 1-4+ Years

Work Timings: 7:00 PM – 3:30 AM IST (5 Days a Week)

Job Description:

  • Manage end-to-end onboarding processes for consultants and employees working under W2, C2C, and 1099 arrangements.
  • Send onboarding emails and communicate onboarding requirements to candidates in a timely manner.
  • Collect, review, and maintain employment and compliance documentation.
  • Verify and track US work authorization documents, including Green Card, US Passport, Employment Authorization Document (EAD), H-1B, OPT/CPT, and other visa-related documentation.
  • Coordinate completion of onboarding paperwork, tax forms, and client-specific compliance requirements.
  • Ensure all onboarding documents are accurate, complete, and compliant before consultant start dates.
  • Maintain onboarding records and update internal systems, ATS, and HR databases.
  • Follow up with candidates, recruiters, vendors, and hiring managers regarding pending documentation.
  • Support I-9 verification and employment eligibility processes.
  • Monitor onboarding status and provide regular updates to internal stakeholders.
  • Ensure adherence to company policies, client requirements, and US employment regulations.
  • Assist with audits and maintain proper documentation for compliance purposes.

Required Qualifications

  • Bachelor's degree or equivalent experience.
  • 1-4 years of experience in US staffing, onboarding, HR operations, or compliance.
  • Hands-on experience with CEIPAL ATS, including onboarding management, candidate record maintenance, document tracking, and compliance workflows.
  • Strong understanding of W2, C2C, and 1099 employment models.
  • Knowledge of US work authorization documents and employment eligibility requirements.
  • Experience handling onboarding documentation, candidate communications, and onboarding coordination activities.
  • Familiarity with collecting and verifying work authorization documents such as US Passport, Green Card, EAD, H-1B, OPT/CPT, and other visa-related documents.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational abilities.
  • Ability to manage multiple onboarding activities simultaneously while meeting deadlines.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Excel, and Word.
