About the Role
We are seeking a detail-oriented and proactive US IT Staffing & HR Operations Executive to manage end-to-end recruitment and HR operations for our U.S. clients and consultants. The ideal candidate will have hands-on experience with U.S. hiring practices, employment types (W2, C2C, 1099), and work visa categories (H1B, GC, OPT, CPT, TN, etc.). This role requires excellent coordination, compliance knowledge, and a strong understanding of U.S. payroll and documentation processes
Key Responsibilities
Recruitment & Onboarding
- Manage the complete U.S. IT recruitment lifecycle from sourcing and screening to offer negotiation and onboarding.
- Work closely with Account Managers and Clients to understand requirements and deliver qualified candidates.
- Handle consultant onboarding, background verification, and documentation (I-9, W4, etc.).
- Ensure compliance with U.S. employment laws and company policies.
Visa & Compliance Management
- Maintain accurate and updated records of consultants work authorization status (H1B, OPT, CPT, GC, TN, etc.).
- Coordinate with immigration teams and vendors for visa transfers, extensions, and related documentation.
- Ensure compliance with USCIS and Department of Labor regulations.
Payroll & Pay Terms
- Manage consultant timesheets, invoicing, and payroll coordination under various pay terms (W2, C2C, 1099).
- Work with finance teams to ensure accurate and timely payments and vendor invoicing.
- Maintain detailed records of pay rates, bill rates, and margins for each placement.
Contracts & Documentation
- Draft and manage contracts such as MSA, SOW, offer letters, and vendor agreements.
- Maintain all HR and staffing documentation in compliance with U.S. standards.
- Handle confidential employee and consultant data securely and efficiently.
Operations & Reporting
- Support overall HR and operational processes including audits, compliance reporting, and system updates.
- Prepare weekly and monthly reports on recruitment status, consultant tracking, and payroll.
- Continuously improve internal processes to ensure smooth staffing operations.
Qualifications
- Bachelor's degree in Business Administration, HR, or related field.
- Minimum 2 years of experience in US IT staffing or recruitment operations.
- Strong understanding of U.S. hiring practices, employment classifications (W2, C2C, 1099), and visa types.
- Familiarity with ATS (Applicant Tracking Systems), MS Office / Google Workspace.
- Excellent communication, multitasking, and organizational skills.
- Experience working with vendors, clients, and consultants across different U.S. time zones preferred.
