US HR Specialist

Job Summary

We are looking for a US-HR Specialist to manage end-to-end onboarding for employees hired in the US. The role requires strong knowledge of US employment documentation, compliance, and coordination with multiple stakeholders to ensure a seamless onboarding experience.

Key Responsibilities

• Manage end-to-end onboarding for US hires (W2, C2C, 1099 as applicable).
• Prepare and process offer letters, onboarding packets, and employment documentation.
• Coordinate background checks, drug tests, and employment verification as per US standards.
• Ensure completion of I-9, E-Verify, W-4, state tax forms, and other compliance documents.
• Conduct virtual onboarding sessions and new hire orientations.
• Coordinate with recruiters, hiring managers, payroll, and IT teams for smooth onboarding.
• Maintain accurate employee records in HRMS/ATS systems.
• Track onboarding progress and resolve issues proactively.
• Ensure adherence to US labor laws and company policies.
• Support audits and compliance checks related to onboarding documentation.

Required Skills & Qualifications

• Strong understanding of US HR onboarding processes and documentation.
• Hands-on experience with I-9 and E-Verify compliance.
• Familiarity with US payroll inputs and tax forms (W-4, state forms).
• Experience working in US shifts and with US stakeholders.
• Proficiency in HRMS/ATS tools (Workday, ADP, BambooHR, or similar).
• Excellent communication and coordination skills.
• High attention to detail and confidentiality.
