Job Description

The HR Senior Specialist should be conversant with HR Benefits, Compliance, I-9, Pre-Payroll processing (Paid Sick Time) Onboarding processes with team management skills. The specialist will conduct compliance audits, review Temporary Protected Status (TPS) documentation, ensure E-Verify compliance, resolve Level 2 background check alerts through individualized assessments, and communicate directly with associates to obtain documentation or clarification when required. A sound knowledge of pre-payroll, benefits, compliance and employment verification.

Accountabilities:-

  • Review and verify Form I-9 documentation in compliance with USCIS and Department of Homeland Security regulations.
  • Conduct audits of I-9 forms to ensure proper completion, documentation retention, and regulatory compliance.
  • Review and monitor Temporary Protected Status (TPS) employment authorization documentation, including tracking expiration dates and re-verification requirements.

Verification of Employment (VOE) Administration

  • Responsible for managing VOE mailbox for incoming verification requests.
  • Ensure requests are processed accurately and within required timeframes.
  • Maintain documentation tracking completed requests
  • Review and verify associate employment information in Bullhorn
  • Submit employment verification information to Thomas & Company

Unemployment Claims Administration

  • Monitor the unemployment claims mailbox and track incoming claim notifications and requests for information.
  • Gather necessary documentation and employment data from internal systems and branch teams.
  • Enter claim information and documentation into the Thomas & Company unemployment vendor system.
  • Ensure timely submission of claim responses to meet state deadlines.
  • Maintain organized documentation related to unemployment claims.
  • Escalate complex claims or disputes to HR leadership when appropriate.

Team Management:-

  • Strong Experience Stakeholder Management- Client Management
  • Well verse with Team Management- can mange a team span of 7-10 individuals (atleast)
  • Self driven, Ability to manage complex problem can do RCA
  • Driver self and teams against set goals, manage and monitor
  • Ensure Weekly, Monthly- Business Review decks are updated, while ensuring data sanity
  • Keep the team motivated

Skills:-

  • Experience with USCIS Form I-9 verification, employment eligibility requirements, and E-Verify case management.
  • Background in background screening and drug testing compliance, including reviewing reports and results.
  • Ability to perform compliance or quality audits of HR documentation and maintain accurate case notes and audit records.
  • Professional customer service skills, communicating sensitive personal information with employees, candidates, and internal teams while ensuring confidentiality
  • Ability to conduct individualized assessments related to background findings and provide recommendations for employment
  • High attention to detail and ability to manage confidential information.
  • Proficiency in Microsoft Excel (including pivot tables and VLOOKUP) and Outlook.
  • Experience supporting U.S.-based HR processes is a plus.
