Job Description

US Finance & Payroll Operations Associate

Location: Remote

Shift: Night Shift – US Business Hours

Experience: 2–4 Years

About the Role

We are looking for a detail-oriented US Finance & Payroll Operations Associate to support our U.S. accounting, payroll, benefits, and finance operations. The role requires hands-on experience with QuickBooks and the ability to independently coordinate with U.S. vendors, employees, and service providers.

Key Responsibilities

  • Track employee/consultant timesheets, approvals, and billing hours.
  • Support U.S. payroll processing and payroll reconciliations.
  • Coordinate directly with ADP to resolve payroll, tax, deduction, and employee-related issues.
  • Manage Accounts Receivable, including invoicing, payment tracking, aging, and customer follow-ups.
  • Support Accounts Payable, including vendor invoices, approvals, payments, and reconciliations.
  • Maintain accounting transactions and reconciliations in QuickBooks Online.
  • Review and track federal and state tax notices and coordinate with ADP, tax agencies, or advisors through resolution.
  • Support benefits audits and reconciliations, including employee enrollments, payroll deductions, and carrier invoices.
  • Assist with month-end reconciliations, reporting, and maintaining financial documentation.
  • Follow up on open issues and ensure they are resolved within required timelines.

Qualifications

  • Bachelor's degree in Accounting, Finance, Commerce, or a related field.
  • 2–4 years of U.S. accounting, payroll, or finance operations experience.
  • Hands-on QuickBooks / QuickBooks Online experience required.
  • Experience with AR, AP, invoicing, and reconciliations.
  • Exposure to U.S. payroll, payroll taxes, and ADP preferred.
  • Strong Excel skills and attention to detail.
  • Strong written and verbal English communication skills.
  • Must be comfortable speaking directly with ADP, U.S. vendors, customers, benefits providers, and tax agencies.
  • Willingness to work night shifts aligned with U.S. business hours.
