MAIN PURPOSE
The Regulatory Affairs Registration Executive is responsible for managing end-to-end regulatory-related registration activities to support the timely launch, export, and compliance of skincare, makeup, and fragrance products to Thailand and Malaysia. He/she will render support to the regulatory affairs team.
He/she will lead and manage registration data compilation and submissions for multiple brands and will be responsible for tracking launch timelines with commercial and various marketing teams to ensure timely product registration. Working at the intersection of regulatory compliance and launch execution, this role requires proactive engagement with multiple brand and marketing teams, commercial team and external stakeholders namely retailers, regulatory authorities, vendors, and Shiseido's global/regional regulatory community.
KEY RESPONSIBILITIES
- Manage end-to-end coordination process to obtain product registration datasets from multiple brand and marketing teams for 7-10 brands including, half-yearly assortment lists, GWP plans, product names, barcodes, volumes, packshots, artworks, launch season and dates.
- Coordinate with sales/commercial team on launch timelines for respective markets and follow-up on sales related documentation for Thailand and Malaysia retailers
- Streamline and implement workflow to follow-up on missing datasets from multiple stakeholders and reduce turnaround time from data request to submission
- Liaise with in-house regulatory team to perform technical reviews for individual products of 7-10 brands according to local regulations on formulas, ingredient lists, artworks and perform classification on OPCB tools
- Coordinate the seamless handover of verified product dataset from regulatory team for submission
- Prepare, submit and track regulatory submissions to regulatory authorities through retailers and ensure accurate and timely maintenance of registration databases for both markets
- Liaise directly with external stakeholders (retailers/agency) to submit finalized registration packages and track progress
- Manage post-registration audit enquiries and seek support from regulatory team on preparation of claim supporting documents and attending to regulatory enquiries from external stakeholders or regulatory authorities
- Coordinate with multiple internal stakeholders and/or conduct product research to respond to product queries with clarity and accuracy, including the retrieval of complex product information related to customs classification
- Support escalation and resolution of complex regulatory issues with regulatory team, including regulatory audits as required
- Maintain accurate regulatory records and documentation management across both markets and work closely with Shiseido regulatory community
- Perform any other duties assigned to support regulatory governance and business continuity
REQUIREMENTS
- Bachelor's Degree in a relevant field (e.g., Business Management, Life Sciences, Chemistry, Cosmetic Science).
- Prior experience in project management and exposure in FMCG or beauty industries will be an added advantage
- Ability to converse with our Thailand retailers/agency will be an added advantage
- Demonstrated ability to independently manage data coordination tasks for multiple brands and markets
- Highly proactive, detail oriented and able to manage multiple priorities under tight timelines
- Strong analytical skills with the ability to interpret regulations, directives and guidelines and understand regulatory concepts including product classification across markets
- Strong stakeholder management skills and ability to collaborate across diverse teams and functions
