Job Scope:
The Travel Desk Executive will be responsible for managing and coordinating all domestic and international travel requirements for employees. This includes travel bookings, visa assistance, forex coordination, invoicing, reporting, vendor management, and travel data analysis. The role demands strong attention to detail, excellent communication, and the ability to work efficiently in a fast-paced corporate setup.
Total /Relevant Experience: 5+ years of experience
Key Responsibilities:
Handle domestic and international air ticket bookings for employees.
Manage end-to-end travel arrangements (flights, hotels, cabs, insurance, etc.).
Ensure bookings are as per company travel policy and cost-effective.
Provide multiple travel options for comparison when required.
Coordinate travel changes, rescheduling, cancellations, and refunds.
Assist employees with visa documentation, application process, and appointment scheduling.
Coordinate with visa agencies and consulates as needed.
Track visa expiries and maintain employee travel document records.
Coordinate foreign exchange (forex) requirements with authorized vendors.
Maintain records of forex provided and ensure compliance with company policies.
Coordinate with travel partners/agents for timely invoicing.
Cross-check and verify invoices for accuracy (fare, taxes, service charges, etc.).
Maintain vendor SLAs and assist in vendor evaluation.
Prepare monthly/quarterly travel MIS reports.
Analyze travel cost, travel patterns, frequently traveled routes, and employee travel behavior.
Identify cost-saving opportunities through trend analysis.
Maintain employee travel databases and dashboards.
Ensure all travel bookings are aligned with corporate travel policies.
Educate employees on travel guidelines and approvals.
Support internal audits related to travel operations.
Provide timely support to employees during travel (flight changes, delays, emergencies).
Maintain strong communication and ensure a smooth travel experience.
Must-have skill:
Qualifications Criteria:
Graduate in any discipline (Hospitality, Travel & Tourism preferred).
Certification in travel management (optional but preferred).
