What this job involves:
The Travel Coordinator manages the day-to-day operations of domestic and international business travel across India, ensuring a seamless experience for all travelers for one of our key clients. In this highly operational and service-oriented role, you will act as the primary point of contact for client's employees, visitors, travel vendors, and partners within a fast-paced environment. What your day-to-day will look like:
Travel Planning & Coordination
- Coordinate end-to-end domestic and international travel arrangements for employees, leadership teams, visitors, and business partners.
- Arrange flight bookings, hotel accommodations, visa support, airport transfers, local transportation, and travel-related logistics.
- Review travel requests against company travel policies and approval requirements before initiating bookings.
- Provide employees with flight, hotel, and transportation options aligned with approved budgets and travel guidelines.
- Manage last-minute travel changes, cancellations, re-bookings, and emergency travel requirements.
Visa & Immigration Support
- Coordinate visa applications through appointed travel and visa partners.
- Support employees with invitation letters, business visa documentation, immigration requirements, and travel advisories.
- Track visa processing timelines and ensure documentation is complete before travel commencement.
- Maintain records of passport validity, visa expirations, and supporting travel documentation.
Hotel & Accommodation Management
- Coordinate hotel reservations for both short-term and long-term stays.
- Maintain relationships with preferred hotel partners and negotiate competitive rates where required.
- Support international visitors traveling to India by arranging accommodations and travel assistance.
- Ensure hotel bookings comply with corporate travel standards and approved limits.
Ground Transportation Management
- Arrange airport transfers, local transportation, executive transportation, and intercity travel requirements.
- Coordinate transportation requirements through approved vendors.
- Ensure timely communication of driver details, pickup schedules, and traveler itineraries.
- Resolve real-time transportation issues and escalations.
Travel Desk Operations
- Manage the India Travel Desk mailbox and respond to travel requests within defined service levels.
- Act as the primary point of contact for traveler queries, booking requests, travel changes, and policy clarifications.
- Maintain travel request trackers, booking logs, and approval records.
- Publish standardized traveler communications, itineraries, and travel guidelines.
Vendor & Stakeholder Management
- Liaise with travel agencies, airlines, hotels, visa partners, transportation vendors, and internal stakeholders.
- Monitor service quality and ensure vendors meet agreed service standards.
- Escalate booking issues and service failures to appropriate vendors.
- Support travel program improvements and vendor performance reviews.
Compliance & Administration
- Ensure travel bookings comply with company travel and expense policies.
- Assist employees with expense-related travel documentation where required.
- Support Concur and travel management system administration activities.
- Maintain accurate travel records, traveler profiles, and approval documentation.
- Generate travel reports and management information including travel spend, booking trends, and vendor utilization.
International Visitor Support
- Coordinate travel arrangements for global colleagues visiting India offices.
- Provide pre-arrival travel information, hotel recommendations, transportation arrangements, and office logistics support.
- Assist visitors with local travel requirements and stay-related coordination during their visit.
Required qualifications:
- Bachelor's Degree in Business Administration, Hospitality, Tourism, Travel Management, or a related field
- 5+ years of professional experience in corporate travel coordination, travel desk operations, or hospitality services
- Proven experience successfully managing both domestic and international travel logistics
- Hands-on experience working directly with travel agencies, airlines, visa partners, and hotel vendors
- Strong customer service orientation combined with budget awareness and cost control skills
- Excellent written and verbal communication skills to collaborate with diverse internal and external stakeholders
- Demonstrated ability to multi-task, manage tight timelines, and handle problem-solving and escalation management under pressure
- Advanced skills in Microsoft Office applications to assist with documentation and tracking
- Experience using travel platforms such as Concur, SAP Concur, ServiceNow, MakeMyTrip Corporate, Akbar Corporate, or equivalent travel systems
- Prior experience supporting high-level executive travel or specialized business partner logistics
This role requires flexibility to accommodate different time zones and occasional after-hours support for travel emergencies.
