As our operations continue to grow, we are looking for a dependable and organised Travel & Admin Executive to support employee travel, vendor coordination, administration and day-to-day operational requirements.

About the Role

The Travel & Admin Executive will be responsible for managing end-to-end travel requirements for employees and management, coordinating with vendors and service providers, maintaining administrative records, and supporting smooth day-to-day office operations.

The role requires someone who is proactive, detail-oriented and comfortable handling multiple requirements simultaneously. The ideal candidate should have prior experience in corporate travel management, administration and vendor coordination, and should be capable of independently managing tasks from initiation to closure.

Key Responsibilities

Corporate Travel Management

- Manage end-to-end domestic and international travel bookings for employees and management.

- Coordinate flight, hotel, train, cab and local transportation bookings.

- Prepare and share detailed travel itineraries.

- Handle booking modifications, cancellations, rescheduling and refunds.

- Coordinate visa documentation, travel insurance and Forex requirements wherever applicable.

- Compare travel options and identify the most cost-effective and convenient solutions.

- Coordinate with travel agencies, airlines, hotels and other travel partners.

- Maintain records of bookings, cancellations, refunds and travel expenditure.

- Support travel arrangements for conferences, client meetings, business delegations, roadshows and events.

- Ensure compliance with internal travel policies and approval processes.

Vendor Management

- Coordinate with travel agencies, hotels, cab providers, courier companies, office suppliers and other service vendors.

- Obtain quotations and compare rates and service terms.

- Support vendor negotiations and commercial discussions.

- Maintain an updated vendor database including contact details, agreements and commercial terms.

- Coordinate vendor invoices and supporting documents with the Finance team.

- Follow up on refunds, credits, outstanding invoices and vendor-related issues.

- Track vendor performance and ensure service quality and timely delivery.

Administration & Office Coordination

- Support day-to-day office administration and operational requirements.

- Manage office supplies, stationery, courier and logistics requirements.

- Coordinate meeting rooms, visitor arrangements and internal meetings.

- Support company events, employee engagement activities, workshops and conferences.

- Assist with hotel, transport and logistical arrangements for visiting clients and international guests.

- Maintain relevant administrative records, agreements and documentation.

- Track subscriptions, vendor contracts and service renewals where applicable.

- Coordinate with HR, Finance and other internal teams for administrative support.

Operations Support

- Support management and teams with routine operational coordination.

- Maintain trackers and MIS related to travel, vendors and administrative expenditure.

- Monitor open tasks and ensure timely completion and follow-up.

- Support improvement of travel and administrative processes.

- Identify opportunities for cost optimisation and better vendor management.

- Assist with other operational requirements that arise from time to time.

Candidate Profile

Essential Requirements

- Graduate in any discipline.

- 2–4 years of experience in corporate travel, administration, travel desk, office operations or a similar role.

- Hands-on experience managing employee or corporate travel bookings.

- Experience dealing with travel agencies and external vendors.

- Strong working knowledge of MS Excel, Word and Outlook.

- Ability to maintain accurate trackers, MIS and documentation.

- Strong verbal and written communication skills.

- Good coordination and negotiation abilities.

- Strong attention to detail and follow-through.

- Ability to manage multiple tasks and priorities simultaneously.

- Ability to work independently and take ownership of assigned responsibilities.

Preferred Experience

- Previous experience as a Travel Desk Executive, Travel Executive, Admin Executive, Travel Coordinator or Administration Executive.

- Experience managing international travel and visa coordination.

- Familiarity with travel management portals or booking platforms.

- Basic understanding of invoice processing and expense reconciliation.

- Experience coordinating corporate events, conferences or delegations.

- Experience working in a consulting, professional services or corporate environment would be an advantage.
