Job Title- Tender Specialist
Job Summary
The Tender Specialist will be responsible for managing the complete government tender lifecycle—from identifying suitable opportunities and evaluating eligibility to preparing documentation, submitting bids, tracking amendments, and maintaining accurate records.
This position requires strong attention to detail, excellent documentation skills, and the ability to manage multiple tenders simultaneously in a fast-paced environment.
Key Responsibilities
Tender Identification & Opportunity Tracking
- Search and identify relevant tenders daily across GeM, IREPS, CPP Portal, State e-Procurement Portals, and PSU procurement portals.
- Monitor service and product tenders related to defence, security, medical devices, manpower, facility management, and railway services.
- Maintain a tender opportunity calendar and identify upcoming procurement opportunities.
- Immediately notify management of high-value or urgent tender opportunities.
Eligibility Assessment
- Review tender eligibility criteria, including turnover, experience, certifications, statutory registrations, OEM authorizations, and technical requirements.
- Evaluate MSME, Startup, and Make in India eligibility benefits.
- Prepare eligibility summaries for management approval before bid preparation.
Tender Documentation & Bid Preparation
- Prepare complete technical and commercial bid documentation.
- Compile statutory documents such as GST, PAN, MSME, Company Registration, ISO certifications, Labour License, PF, ESIC, OEM Authorization, and technical compliance documents.
- Prepare cost sheets for manpower and product tenders.
- Coordinate with management for commercial approvals before bid submission.
- Ensure all uploaded documents comply with portal requirements and maintain offline records of submitted bids.
Bid Submission & Portal Management
- Submit bids on GeM, IREPS, CPP Portal, State Procurement Portals, and PSU portals within prescribed timelines.
- Track bid acknowledgements, submission references, and portal notifications.
- Participate in reverse auctions as per management instructions.
Corrigendum & Compliance Management
- Monitor all active tenders for corrigenda, amendments, clarifications, and deadline extensions.
- Assess the impact of amendments and communicate updates promptly.
- Maintain amendment logs and update tender trackers accordingly.
Client Communication & Coordination
- Draft professional correspondence with government authorities.
- Handle tender-related email communication and portal notifications.
- Coordinate internally with management for approvals and documentation.
Reporting & Documentation
- Maintain accurate records of tenders, submissions, amendments, and bid status.
- Update Excel-based MIS trackers and prepare daily, weekly, and monthly reports.
- Ensure complete documentation for audit and future reference.
Required Qualifications
- Bachelor's Degree in Commerce, Business Administration, Arts, Science, or any equivalent discipline.
- Freshers with strong analytical skills and willingness to learn government procurement are encouraged to apply.
- Proficiency in both English and Hindi (written and verbal).
- Strong working knowledge of Microsoft Excel and MS Word.
- Ability to interpret government tender documents and technical specifications.
- Excellent organizational skills with strong attention to detail.
- Ability to manage multiple deadlines simultaneously.
Preferred Skills
- Experience working on GeM, IREPS, CPP Portal, or State e-Procurement Portals.
- Knowledge of government procurement processes.
- Understanding of service and product tender documentation.
- Familiarity with MSME, GST, Labour Compliance, PF, and ESIC documentation.
- Strong documentation and reporting skills.
