Position Title: Tender & Commercial Executive

Department: Commercial / Business Operations / Contracts.

Job Location: Bangalore
Experience: 3–6 Years

Qualification: Bachelor's Degree in Commerce, Business Administration, Engineering, or related field.

• MBA or equivalent qualification will be an added advantage

Job Summary
We are looking for a proactive and detail-oriented Tender & Commercial Executive to manage end-to-end tendering, bid management, commercial documentation, and customer coordination activities. The ideal candidate should have hands-on experience in handling Government and Defence tenders through GEM and various e-procurement portals.
The role requires strong analytical, coordination, and communication skills to ensure timely submission of bids, smooth contract execution, and effective customer engagement.

Key Responsibilities

Tender & Bid Management
• Conduct detailed study and analysis of tender documents including:
o RFP (Request for Proposal)
o NIT (Notice Inviting Tender)
o GCC (General Conditions of Contract)
o QR, STC, VQC
o Annexures and technical specifications
• Prepare and compile comprehensive technical and commercial proposals in line with tender requirements
• Handle online and offline bid submissions through:
o GEM Portal
o E-procurement platforms
o Other Government tender portals
• Ensure timely and accurate submission of all required bid documents
Reverse Auction & Evaluation Support
• Manage the complete bid process including:
o Online Reverse Auctions (RA)
o GEM bidding procedures
• Coordinate and respond to customer queries during:
o Technical evaluation
o Commercial evaluation
o Financial clarification stages
• Support order finalization and post-award activities
Contract & Documentation Management
• Prepare order acknowledgements and contractual documents
• Coordinate issuance of:
o Performance Bank Guarantees
o Security Bank Guarantees
o Advance Bank Guarantees
• Maintain proper documentation and records related to bids and contracts
Customer & Internal Coordination
• Communicate effectively with customers for smooth contract execution
• Address customer concerns and proactively resolve issues
• Coordinate with production and operations teams to ensure timely material supply as per delivery schedules
Billing & Payment Follow-up
• Prepare invoices along with supporting documents
• Follow up with customers for payment processing and outstanding collections
Vendor Registration Management
• Handle vendor registration and enlistment activities
• Manage renewals and documentation for existing registrations
Required Skills
• Strong understanding of Government / Defence tendering processes
• Hands-on experience with GEM Portal and E-procurement platforms
• Knowledge of commercial documentation and contract management
• Excellent communication and coordination skills
• Strong analytical and organizational abilities
• Proficiency in MS Office (Excel, Word, PowerPoint)
• Ability to manage multiple tenders and deadlines simultaneously
Preferred Skills
• Experience in Defence, Aerospace, Manufacturing, or Engineering industry preferred
• Familiarity with Government procurement procedures and contract terms
• Understanding of banking documentation related to guarantees and commercial transactions
