Position: Tender and Bid Management Executive

Job Summary
We are looking for a highly organized and detail-oriented professional to manage end-to-end tendering and bid submission activities for government and institutional projects. The role involves identifying tender opportunities, preparing comprehensive bid documentation,
coordinating with OEMs and internal teams, and ensuring timely and compliant submission of bids.
Key Responsibilities
- Track and monitor tender opportunities across Government e-Marketplace (GeM), State e-Procurement portals, and other government/Non Governement procurement platforms.
- Download, review, and analyze tender documents including eligibility criteria, technical specifications, scope of work, and commercial terms.
- Prepare eligibility compliance sheets, technical bid documentation, and commercial bid structures in line with tender requirements.
- Coordinate with OEMs for Manufacturer Authorization Forms (MAF), quotations, and related supporting documents.
- Coordinate with internal departments for statutory, technical, financial, and compliance- related documents required for bid submission.
- Upload and submit tender documents on various e-procurement portals within stipulated timelines.
- Attend pre-bid meetings, clarify bid requirements, and maintain internal communication updates.
- Maintain and regularly update the Tender Tracker with bid status, submission dates, follow- up actions, and award details.
- Maintain proper records of Work Orders, Work Completion Certificates, Audit Reports, Delivery Challans, and project-related documents.
- Prepare and organize documentation required for payment release processes and government audits.
- Maintain a centralized project documentation repository for easy retrieval, compliance, and audit readiness.
- Prepare weekly and monthly MIS reports for management review.
- Support post-award documentation, contract execution, and project handover activities.
Required Skills & Qualifications
- Bachelor's degree in commerce, Business Administration, Management, or related field.
- 1–2 years of experience in tendering, bid management, or government procurement processes.
- Hands-on experience with GeM portal and state e-procurement systems.
- Strong understanding of tender documentation and compliance requirements.
- Proficiency in MS Office (Excel, Word, PowerPoint) and PDF/document management tools.
- Excellent organizational, analytical, and multitasking abilities.
- Strong communication and coordination skills with the ability to work under strict deadlines.
