Job Description

Summary

Operational

.Assists in making sure that Employee Facilities are maintained to Hyatt International's high standards of operation.

.Ensures that all employee facilities are maintained in compliance with Hyatt International's operational standards and statutory requirements, coordinating with facility vendors for upkeep and service delivery.

.Assists with the development, implementation, and administration of compliance frameworks for employee relations, benefits, compensation, and vendor-supported programs. . Maintains accurate compliance records and vendor documentation, ensuring all files are updated, secure, and audit-ready.

.Coordinates vendor activities for facility management, employee services, and external HR support, ensuring adherence to contractual obligations and compliance standards.Contacts applicants for screening interviews.

.Prepares and monitors vendor agreements, service-level commitments, and compliance reports to ensure transparency and accountability.

.Ensures all compliance-related communications, acknowledgments, and documentation are issued within required timelines and meet legal standards.

.Coordinates visas and immigration activities with external consultants, ensuring compliance with government regulations and monitoring documentation of foreign national employees.

.Prepares compliant letters, contracts, and vendor-related correspondence, ensuring accuracy and adherence to statutory requirements.

.Conducts compliance checks on vendor performance and documents findings to support continuous improvement.

.Assists with the coordination of employee recognition programs, collaborating with external vendors to ensure fair, transparent, and compliant execution.

People

.Assists to ensure that all employees are treated fairly and consistently as outlined in their terms and conditions of employment, local legislation, and company/hotel policies and procedures.

.Ensures a strong professional relationship with all levels of employees within the hotel.

.Ensures that all employees have a complete understanding of and adhere to employee rules and regulations.

.Conducts new employee orientation when necessary.

.Supports the implementation of The People Philosophy in every department in the hotel.

.Conducts Exit Interviews for all resigned employees if necessary and provide feedback to the Personnel Manager.

Administration

.Provides smooth and efficient administrative support in the Human Resources Department by assisting the Personnel Manager/Director of Human Resources in the planning, coordination and implementation of all office administration of the Human Resources Office.

.Responsible for the security and upkeep of personnel files

.Coordinates and administers all paper flow within the Department.

.Ensures that personnel records are maintained accurately and efficiently.

Customer Service

.Handles all guest and internal customer complaints and inquiries in a courteous and efficient manner, following through to ensure problems are resolved satisfactorily

.Maintains positive guest and colleague interactions with good working relationships.

.Provides the appropriate level of professional, courteous and caring service to other employees (internal customers) and other visitors to the division.

Financial

.Be conversant with productivity ratios (and other key performance indicators) and to produce the monthly turnover report, employee sick leave report, vacation reports.

.Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.

Marketing

.Assists the Personnel Manager with the compilation and implementation of all employee communications.

.Ensures that all in-house rules, regulations and personnel announcements are communicated to employees via notice board and/or e-mail channels.

Other duties

.Attends and contributes to all Learning sessions and meetings as required.

.Is knowledgeable in statutory legislation in Associate and industrial relations.

.Exercises responsible management and behaviour at all times and positively representing the hotel management team and Hyatt International.

.Maintains strong, professional relationship with the relevant representatives from competitor hotels, business partners and other organisations.

.Reads the hotel's Associate Handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.

.Ensures high standards of personal presentation and grooming.

.Responds to changes in the Human Resources function as dictated by the industry, company and hotel.
