Role Overview
We are seeking a highly analytical and technology-driven Talent Acquisition Operations Specialist to modernize and streamline recruitment processes through automation, system optimization, and operational excellence. This role partners closely with HR, Finance, hiring teams, and global stakeholders to drive efficient hiring operations, enhance the candidate experience, and maintain end-to-end compliance.
With a strong blend of HR technology, recruiting operations, and data-driven decision-making, the Specialist will support offer management, onboarding coordination, TA systems administration, and real-time recruitment analytics to enable faster, more efficient, and more compliant hiring across the organization.
Key Responsibilities
1. Strategic Offer Management
- Prepare, review, and issue offer letters and documentation with high accuracy.
- Ensure offer processes comply with internal policies and regulatory standards.
- Implement continuous improvement initiatives to reduce offer turnaround time and increase process efficiency.
2. Candidate Engagement & Post-Offer Follow-Up
- Lead communication with selected candidates from post-offer to onboarding.
- Resolve candidate queries promptly and ensure timely completion of joining formalities.
- Track and improve candidate drop-off trends and joining ratios.
3. Onboarding Program Oversight
- Collaborate with HR, hiring managers, and cross-functional partners to streamline onboarding workflows.
- Ensure all pre-joining checks, documentation, and background verifications are completed on time.
- Enhance onboarding experience using feedback-driven process improvements.
4. Recruitment Reporting & Analytics
- Own and maintain recruitment dashboards and KPI reporting, including time-to-fill, offer acceptance, cost-per-hire, and diversity metrics.
- Provide insights and recommendations to TA leadership for operational and strategic decision-making.
- Conduct demand–supply analysis and hiring trend evaluations to support workforce planning.
5. Headcount & Budget Governance
- Track hiring plans, workforce numbers, and TA-related budget utilization.
- Partner with HR and Finance to ensure accurate forecasting, reporting, and compliance with budget controls.
6. Vendor Performance Management
- Manage sourcing, recruitment, and background verification vendor relationships.
- Monitor vendor SLAs, performance metrics, and compliance adherence.
- Drive continuous improvement through performance reviews and vendor audits.
7. TA Systems & Tools Administration
- Lead administration, optimization, and troubleshooting of TA platforms (ATS, onboarding tools, HRIS).
- Ensure data accuracy, system compliance, and alignment with HR governance standards.
- Train recruiters and stakeholders on system usage and best practices.
8. Compliance & Process Governance
- Ensure adherence to audit requirements, internal controls, and global governance standards.
- Maintain documentation aligned with regulatory and policy compliance.
- Promote best practices across recruitment workflows to ensure standardization and efficiency.
Preferred Qualifications
- MBA in HR (preferred) or Bachelor's degree (required).
- 7+ years of experience in recruitment operations, offer management, onboarding, or HR coordination.
- Proven experience in managing recruitment operations at scale across multiple regions.
- Strong stakeholder management, communication, and problem-solving skills.
- Advanced proficiency in MS Excel, HR systems, ATS, and onboarding platforms.
- Experience in full-cycle recruitment, process optimization, or HR technology implementation.
