Overview

As a Recruitment Coordinator, you will play a key role in ensuring seamless execution of recruitment coordination processes across different hiring categories:

  • Professional External & Internal Hiring, Frontline Hiring, and Early Talent Hiring.
  • You will be responsible for managing requisition processing, interview scheduling, offer management, pre-boarding, and onboarding activities, while ensuring compliance, data integrity, and process adherence.
  • This role requires strong organizational skills, attention to detail, stakeholder collaboration, and the ability to work efficiently in a fast-paced environment.
  • You will work closely with Recruiters, Hiring Managers, Talent Acquisition Leaders, and HR teams to deliver an exceptional recruitment experience for both candidates and internal stakeholders.

Responsibilities

Recruitment Coordination & Process Management

  • Requisition Management: Ensure accurate entry, updates, and maintenance of job requisitions within the Applicant Tracking System (ATS).
  • Interview Scheduling & Coordination: Manage and coordinate interview schedules with candidates, hiring managers, and interviewers to ensure timely and professional interview logistics.
  • Offer & Pre-boarding Support:
    • Assist in the preparation and issuance of offer letters ensuring accuracy, compliance, and timely delivery.
    • Facilitate background checks, tracking progress, and resolving any related issues.
  • Onboarding Coordination:
    • Support pre-boarding activities, including new hire documentation and orientation scheduling.
    • Ensure a smooth transition for new hires, resolving any onboarding-related concerns efficiently.
  • Process Oversight: Monitor all aspects of the recruitment lifecycle, ensuring timely completion of each stage while maintaining high service standards.

Data Management & Reporting

  • Maintain accurate and up-to-date candidate records within the ATS and other recruitment systems.
  • Ensure data integrity and compliance with company policies and data privacy regulations.
  • Generate basic reports on recruitment activities, tracking process completion rates, candidate status, and coordination efficiency.

Stakeholder Management & Communication

  • Build and maintain strong relationships with Recruiters, Hiring Managers, HR Teams, and Candidates.
  • Provide timely updates on the status of coordination activities, ensuring clear communication and alignment.
  • Ensure candidates receive a high-touch experience, keeping them informed throughout the interview and hiring process.

Process Improvement & Technology Utilization

  • Identify and suggest process improvements to streamline coordination activities and enhance efficiency.
  • Utilize the ATS, CRM, and other recruitment tools to ensure timely and accurate execution of coordination activities.
  • Stay updated on system and process changes, ensuring proper adoption and compliance.

Compliance & Process Adherence

  • Ensure all recruitment activities comply with local employment laws, company policies, and global hiring standards.
  • Maintain accurate data entry and tracking within the ATS, ensuring full compliance with recruitment lifecycle protocols.
  • Safeguard the accuracy and completeness of candidate records, ensuring adherence to data privacy regulations.

Specialized Responsibilities Based on Coordination Type

  • Support both external and internal recruitment processes, managing job postings, candidate scheduling, and onboarding logistics across multiple hiring categories.
  • Balance internal mobility coordination while handling external hiring logistics, ensuring dual-process efficiency.
  • Act as a central coordination point for roles requiring both external hiring and internal employee transitions.

Qualifications

Required Qualifications

  • Education & Experience: Bachelor's Degree and 2+ years of experience in recruitment coordination, HR operations, or talent acquisition support.
  • Talent Acquisition Technology Expertise: Experience working with Applicant Tracking Systems (ATS) (e.g., iCIMS, Workday, SuccessFactors) and recruitment technologies.
  • Organizational & Time Management Skills: Strong ability to manage multiple priorities, high-volume hiring processes, and deadlines in a fast-paced environment.
  • Communication & Stakeholder Management: Excellent verbal and written communication skills, with the ability to interact professionally with candidates, recruiters, hiring managers, and cross-functional stakeholders.
  • Process & Compliance Adherence: Understanding of global hiring standards, local employment laws, and recruitment lifecycle protocols to ensure compliance and data integrity.
  • Attention to Detail: Strong focus on accuracy in offer processing, scheduling, and data management to maintain seamless recruitment coordination.
  • Collaboration & Confidentiality: Ability to work collaboratively across teams while maintaining discretion in handling sensitive candidate information.
  • Candidate Experience Management: Strong customer service orientation to ensure a high-touch candidate experience throughout the interview and onboarding process.
  • Proficiency in English: Strong written and spoken English skills to support recruitment coordination across regions.

  • Hybrid Coordination Expertise: Experience balancing both internal mobility coordination and external hiring logistics.
  • HR Systems & Data Management: Familiarity with recruitment workflows, HR processes, and system-generated analytics to support reporting and insights.
  • Process Improvement Mindset: Ability to identify opportunities for operational efficiency and suggest enhancements to streamline coordination activities.
  • Internal Mobility Coordination: Experience managing job postings, interview logistics, and onboarding for both external hires and internal employee transitions.
