Role Purpose
We are seeking a technically strong System Configuration Administrator to support the configuration, stability, and continuous improvement of our Vendor Management System (VMS). This role focuses on gathering and interpreting client data, analysing system behaviours, validating logic, and implementing configuration or data updates that impact multiple workflows and touchpoints. You will play a critical role in BAU activity as well as projects that require changes to data structures, rate logic, job templates, mappings, and workflow rules, ensuring that all impacts and risks are fully understood, documented, and mitigated before deployment.

Key Responsibilities
1. Client Data Collection & Requirement Analysis
- Collect and validate data from Retinue teams and clients for onboarding, updates, and enhancement projects.
- Analyse datasets to identify gaps, inconsistencies, and mapping requirements.
- Translate business needs into clearly defined data rules, configuration logic, and process.
- Document ASIS and TOBE workflows when changes to data or processes are required.
2. System Configuration, Data Loading & Logic Updates
- This role requires strong ownership and management of tickets within the workflow. The Business Configuration Analyst is expected to handle tickets with a high degree of accuracy and attention to detail, reviewing requirements, validating impacts, documenting findings clearly, progressingactions, and ensuring timely resolution times.
- Working within Freshdesk (ticketing system) track and manage all incoming tickets in line with prioritisation given in daily stand ups
- In line with documented processes, build and update configuration within the VMS, including mappings, job templates, rate structures, workflows, access rules, and hierarchy strings.
- Implement data changes that impact multiple touchpoints, such as national minimum wage uplifts, rate card overhauls, job title restructures, department realignments, and workflow amendments.
- Ensure configuration is aligned with delivery team and client requirements, internal standards, and system constraints.
- Ensure QC processes are followed to minimise inaccuracies and impact
3. Risk, Impact & Dependency Assessment
- Conduct structured impact assessments for any data or configuration change, evaluating effects across jobs, candidates, compliance paths, shifts, timesheets, payroll outputs, and integrations.
- Highlight dependencies, risks, rollback requirements, and potential downstream issues before any change is approved.
- Provide clear recommendations to internal and external stakeholders based on technical understanding of how data flows through the system.
4. Integration & Mapping Governance
- Maintain and validate mapping files, reference data and systems logic used across integrations (e.g., hierarchy, cost centres, job titles, rates, departments).
- Investigate mapping failures or misalignments, determine root cause, and specify corrective actions.
- Work closely with integration teams to ensure upstream/downstream systems remain aligned after data changes.
5. Bulk Data Operations & Reconciliation
- Review and prepare datasets for bulk upload activities, identifying issues ahead of processing.
- Support upload cycles by validating nonflowing records, identifying mapping discrepancies, and specifying required corrections.
- Analyse upload results, reconcile movements and rejections, and provide structured outcome reports to clients.
Responsibilities include:
- Owning the requirement-to-release lifecycle for data and system config changes
- Building and validating changes in test environments
- Coordinating UAT and ensuring acceptance criteria are met
- Managing risks, issues, edge cases, and decision logs
- Preparing deployment plans and ensuring safe promotion to live
7. Testing, Validation & Continuous Improvement
- Design and execute testing scenarios covering configuration changes, data loads, system behaviour, workflow adjustments, and mapping logic.
- Identify and document defects, retest fixes, and ensure clear traceability from requirement test release.
- Recommend improvements to reduce data defects, enhance workflow reliability, and simplify client configuration.
Skills & Experience
Essential
- Strong analytical mindset with ability to work confidently across datasets, mapping logic, and system workflows.
- Experience implementing configuration changes in technical systems.
- Excellent documentation skills: requirements, mapping logic, impact assessments, decision logs.
- Ability to explain technical detail to nontechnical stakeholders.
- Strong understanding of how data changes influence workflows, integrations, payroll files, and user experience.
- Experience in structured testing, including scenario design, defect management and regression.
- Strong spoken and written English
Desirable
- Experience with VMS platforms, NHS environments, or multisystem integrations.
- Some exposure to RPA/API workflows, reference data governance, and multisystem data alignment.
