This Position reports to:
Support Services SpecialistYour role and responsibilities:
In this role, you will have the opportunity to provide support services to businesses in various administrative areas. Each day, you will engage internal customers. You will also showcase your expertise by driving efficient support services.

You will be mainly accountable for:
Support & provide Facilities services & other employee services at ABB AIC campus, (including IFM, transport, cafeteria & pantry, technical services, Printing & Stationary, coordination of PCB statutory requirement, coordination with building team, waste disposal
Participate in all DRBC related process including emergency services and perform role of DRR admins Provide support for internal meetings / conferences Oversee landscaping activitiesProvide logistics assistance for company / project events Handle voice communication operations Interact with visitors / vendors / employees with regard to dispatch /delay / damage/ misplacement of couriers IN ORDER TO provide facilities services as per defined policy
Review food court / Canteen operations and co-ordinate with Catering & Banquets team for internal catering Review housekeeping and pest control in respective areas Provide logistics assistance for visits Set up new infrastructure guide the internal team on the upkeep and maintenance of breakout area, cafeteria Ensure compliance of the service staff including medical reports, Statutory compliances, service trainings & adherence of Hygiene standards.
Ensure services rendered by the service partners are in line with the agreed Service Level Agreements (SLA) Monitor transport partner services for compliance as per agreements Implement cost control measures provide clarifications to vendors and internal customers on queries related to surface travel Evaluate and improve upon travel services rendered to employees and stakeholders Monitor operations of transport desk Review rostering and suggest changes Review available vehicles and make alternate arrangements & plan for adhoc requirements if any Provide details for debiting costs to projects , work towards dependable and cost effective transportation for employees. Handle escalations related to travel IN ORDER to provide travel services in adherence to SLA's
Perform functions including that of monitoring Facilities helpdesk Processing of bills and timely payment to vendors Follow-up with vendor for timely delivery of supplies and services Track and maintain inventory of assets Update department documents Monitor operations of Facilities Store Raise Purchase Requisitions Co-ordinate with sourcing / Finance and HR functions Collation and analysis of cost related data Provide inputs on provisions to Finance on a monthly basis Co-ordinate with vendors on reconciliation of accounts Prepare MIS reports incl spent on various heads for review and appropriately work towards cost optimization.
Co-ordinate / Attend / provide training to Associate Facilities and contractual staff in areas such as technical and customer service-related activities Deploy contractual personnel and regularly monitor services provided IN ORDER TO improve competencies
Ensure that preventive or breakdown maintenance are attended on time ensure 100% uptime & maintenance of plant and machinery Fresh and Waste Water Management ensure interior & civil maintenance is carried out on time to maintain the aesthetics of the facility Monitor voice communication and audio conferencing systems and services Handle minor electrical modifications Adhere to electrical safety guidelines Handle project specific and infrastructure related up-gradation activities Co-ordinate with service providers during disruption of services Prepare and ensure closure of snag list before takeover of new infrastructure Maintain substations (HT cable distribution) IN ORDER TO provide engineering services with minimum downtime for effective functioning of the DC
Responsible for coordinating with the technology development team on the facility tech requirements that have been identified by the organization, taking lead in implementation of developed tech aspect for improving efficiency and productivity of the service deliverables
Qualifications for the role :
Any Graduation or Post Graduation - Facility management/ Administration/HR/Sourcing with minimum 10+ years of experience.
Knowledge:Facilities / Engineering domain knowledge (Any three of core facility services - Hospitality Services, Facilities Services, Travel Services, Administration and Logistics Services, Engineering Services , HSE, Security, Infrastructure, Leadership & Strategy Planning)
Skills: Digital Transformation, IOT Implementation, Engineering , Customer handling, Communication ,Interpersonal, Analytical
Additional Tasks: Participation in any one cross functional / organizational initiative ( Handling company events like AGM, Member of Catering committee, Member of Health club committee, Member of Transport committee, Member of Industries Forum / Associations, Management Representative for HSE initiative)
