Job Summary
The Strategic Executive Assistant President's Office will ensure smooth execution of key priorities by tracking ongoing projects, coordinating tasks across departments, and driving timely follow-ups from the President's Office. The role also supports planning of new projects by creating basic plans, timelines, and ownership structure.
Key Responsibilities
Project Tracking & Updates
Maintain a master tracker of all projects and tasks coming from the President's Office
Take weekly updates from concerned teams and prepare a simple status report (On Track / Delayed / Risk)
Flag risks, delays, dependencies, and pending approvals to the President
Coordination & Follow-up
Coordinate with internal departments for tasks assigned by the President
Ensure each task has owner, timeline, and deliverable
Schedule meetings, share agendas, take short notes, and circulate action points
Drive closure through consistent follow-up and escalation where required
New Project Planning Support
Assist in new project planning: scope, timeline, task breakup, approvals, and key stakeholders
Coordinate with vendors/partners for meetings, proposals, timelines, and documentation
Support preparation of simple comparative notes for options/quotations
Documentation & Office Support
Maintain proper documentation for projects: notes, decisions, MoMs, trackers, approvals
Prepare short summaries for the President: what's done, what's pending, what needs decision
Candidate Profile
Experience
68 years in operations / project coordination / PMO / founder's office / execution roles
Education
MBA (Finance) from a reputed business school (preferred)
Key Skills & Competencies
Strong follow-up and coordination skills with multiple stakeholders
Excellent communication (clear updates, short notes, action-oriented writing)
Good working knowledge of Excel/Google Sheets, PowerPoint, Word
Ability to handle senior-level tasks with discretion and confidentiality
High ownership mindset, discipline, and speed of execution
Success Metrics (KPIs)
Weekly project tracker updated accurately and on time
Timely closure of tasks from the President's Office
Reduced delays due to proactive coordination and escalation
New projects initiated with clear timeline, ownership, and documentation
