Role Overview
We are seeking a highly organized and process-driven Standard Operating Procedures (SOP) Specialist to develop, structure, and maintain Standard Operating Procedures across multiple departments. This role plays a critical part in building strong internal systems by documenting workflows, standardizing operations, and ensuring consistency in how tasks are executed.
The ideal candidate should have experience in process documentation, strong analytical ability, and the skill to convert practical workflows into clear, step-by-step written procedures.
Key Responsibilities
1. SOP Development & Documentation
- Convert daily operations into structured SOP documents
- Develop process manuals, work instructions, and operational guides
- Create checklists and standard templates for recurring tasks
2. Process Mapping
- Break down complex activities into clear stages
- Develop process flowcharts and diagrams
- Identify missing steps or inefficiencies in existing processes
- Ensure all SOPs are logically structured and easy to follow
3. Standardization
- Create uniform SOP formats for all departments
- Ensure consistency in documentation style and language
- Establish document naming conventions and structure
4. Maintenance & Version Control
- Update SOPs when processes change
- Maintain a centralized SOP repository
- Track revisions and manage version history
- Ensure outdated procedures are replaced with updated versions
5. Cross-Department Coordination
You will work with:
- HR (Hiring, onboarding, payroll processes)
- Sales (Lead handling, follow-ups, reporting)
- Marketing (Campaign workflows, posting schedules)
- Operations (Execution processes)
- Admin (Purchase, approvals, office processes)
- Customer Support (Query handling, escalation process)
- Content & Proofreading
- Testing
6. Training & Implementation Support
- Assist teams in understanding SOPs
- Provide documentation for employee training
- Help new employees learn processes quickly
- Collect feedback to improve SOP clarity
7. Process Improvement
- Identify gaps in workflows
- Suggest process optimization ideas
- Reduce dependency on individuals by building systems
Required Skills

Technical & Tool Knowledge
- MS Word / Google Docs
- Excel / Google Sheets

- Documentation platforms (Notion, Confluence – optional)
- Basic understanding of business operations
Eligibility Criteria
- Bachelor's degree in Business Administration, Management, or related field (preferred)
- Minimum 5+ years of experience in SOP writing, process documentation, or operations documentation
- Experience working with multiple departments
Note: Candidates must use their own laptop and have a good internet connection for this job. The laptop should work properly for daily office tasks and online meetings. The company will not provide a laptop.
