Role Overview
The SOP Quality Executive is responsible for ensuring that approved Standard Operating Procedures (SOPs) are being followed correctly in day-to-day operations.
This role does not create SOPs and does not implement them - instead, it acts as a process auditor and monitoring authority, verifying real-time adherence, identifying deviations, and submitting compliance reports to management.
The position plays a key role in maintaining operational discipline, accountability, and process standardization across the organisation.
Key Responsibilities
1. SOP Compliance Monitoring
- Monitor daily operations to ensure SOP adherence
- Verify whether teams are following defined process steps
- Check task execution against documented guidelines
- Ensure responsibilities and timelines are followed as per SOP
2. Internal Process Audits
- Conduct routine and surprise SOP compliance audits
- Use structured audit checklists to assess adherence
- Evaluate process execution across departments
- Compare actual workflow vs documented procedures
3. Deviation & Gap Identification
- Identify where SOPs are not being followed
- Detect process shortcuts, delays, or skipped steps
- Document compliance failures
- Highlight workflow inconsistencies
4. Reporting & Documentation
- Prepare daily, weekly, and monthly SOP compliance reports
- Maintain audit records and compliance tracking sheets
- Provide department-wise compliance summaries
- Present findings to management with clear observations
5. Root Cause Observation
- Identify reasons for non-compliance
- Record recurring process issues
- Highlight systemic workflow problems
- Support management in understanding process risks
6. Coordination & Escalation
- Coordinate with department heads regarding non-compliance
- Share audit findings with SOP Implementers
- Escalate serious process failures to management
- Ensure accountability for repeated violations
7. Corrective Action Tracking
- Track whether departments implement corrections
- Follow up on unresolved compliance gaps
- Monitor improvements in process adherence
- Reduce repeated errors through tracking
8. Process Discipline & Governance
- Support building a process-driven work culture
- Ensure operational consistency
- Maintain control over execution standards
- Act as a process watchdog for the organisation
