We are seeking a detail-oriented and proactive Sr. Business Associate to support procurement, vendor management, sourcing, pricing, and commercial operations. The ideal candidate will coordinate with OEMs, distributors, vendors, and internal stakeholders to ensure competitive pricing, timely proposal submissions, and efficient business operations. This role requires strong communication, negotiation, analytical, and multitasking skills, along with the ability to work in a fast-paced environment.
Key Responsibilities:
Vendor Management & Procurement
• Coordinate with multiple vendors, OEMs, and distributors to obtain competitive pricing, product specifications, and delivery timelines.
• Build and maintain strong relationships with vendors to ensure reliability, responsiveness, and faster turnaround times.
• Evaluate vendor quotations and support sourcing decisions based on pricing, availability, and commercial terms.
• Follow up with vendors on pricing revisions, delivery commitments, and procurement-related requirements.
Proposal & Commercial Operations
• Prepare, review, and generate accurate proposals in Zoho Books based on inputs from the sales team.
• Customize proposals based on customer requirements, pricing structures, and commercial terms.
• Ensure quick turnaround time (TAT) for proposal submissions while maintaining accuracy.
• Manage multiple proposal requests simultaneously and prioritize based on business requirements.
• Ensure all proposals comply with company pricing policies and margin guidelines.
Sales & Stakeholder Coordination
• Work closely with the sales team to understand customer requirements and provide suitable commercial solutions.
• Follow up with customers to track proposal status, gather feedback, and support deal closure.
• Coordinate with finance, operations, procurement, and other internal teams for approvals and validations.
Reporting & Process Management
• Maintain a centralized proposal and pricing tracker with real-time status updates.
• Prepare reports and dashboards for weekly, monthly, and quarterly business reviews.
• Identify process gaps, delays, or bottlenecks and recommend improvements to enhance efficiency.
• Support documentation, record-keeping, and audit requirements related to procurement and proposals.
Required Skills & Qualifications
• Bachelor's degree in Commerce, Business Administration, Supply Chain Management, or a related field.
• 1–4 years of experience in procurement, vendor management, sourcing, commercial operations, proposal management, or business operations.
• Hands-on experience with Zoho Books, CRM, ERP, procurement, or quotation management tools.
• Strong written and verbal communication skills.
• Excellent negotiation, coordination, and stakeholder management abilities.
• Strong analytical skills with attention to detail.
• Excellent organizational and multitasking capabilities.
• Ability to work under pressure and manage multiple priorities.
Preferred Skills
• Experience in procurement, sourcing, vendor management, quotation management, or commercial operations within IT, AV, networking, or solution-based industries.
• Basic understanding of pricing, margins, commercial terms, and procurement processes.
• Familiarity with MS Excel (VLOOKUP, Pivot Tables, formulas, data tracking, and reporting).
• Experience coordinating with OEMs, distributors, and technology vendors.
• Experience working with Zoho Books or similar business systems.
