Job Description

Job Purpose:

The Department of Sports at UPES is seeking a highly organized, versatile, and dynamic professional for the role of Admin & Coaching Coordinator.

Operating as a strategic operational bridge, this role will act as a primary conduct between the Director (Sports & Administration) and the Deputy Head of Sports. The ideal candidate will function as an executive deputy to the Director, effectively echoing their administrative oversight and managing high-level coordination.

Crucially, this is a dual-expert role requiring good technical credentials: a formal NIS Diploma in Sports Coaching is also preferred. The selected candidate will not only oversee the university's coaching frameworks and tracking metrics but will also actively take on hands-on coaching responsibilities for specific university sports teams or fitness modules.

Key Responsibilities:

  • Executive Bridging & Coordination: Act as the primary liaison between the Director and the Deputy Head of Sports, ensuring seamless communication, tracking deliverables, and following up on executive decisions.
  • Active Sports Coaching: Directly lead coaching, training, and conditioning sessions for designated university teams or sports programs, implementing structured development plans.
  • Coaching Operations & Alignment: Oversee the scheduling, performance metrics, and operational compliance of various sports coaches to ensure university athletic programs run at peak efficiency.
  • Administrative Oversight: Manage day-to-day administrative operations of the sports department, including budget tracking, proposal drafts, official correspondence, and inter-departmental coordination.
  • Event & Tournament Management: Assist in planning, organizing, and executing major university sporting events, flagship tournaments (like OJAS & the President's Cup), and annual sports award ceremonies (Laurels Night).
  • Student-Athlete Development: Serve as a mentor and point of contact for student-athletes, managing sports scholarship documentation, athletic evaluation, and student welfare initiatives.
  • Reporting & Analytics: Prepare comprehensive technical reports on coaching progress, team performance, events, results and administrative deliverables for various accreditation committees review and data management.

Qualifications & Skills:

  • Education: Bachelor's or Master's degree in Physical Education (B.P.Ed / M.P.Ed), Sports Management, or a related discipline.
  • Diploma in Sports Coaching (NSNIS / NIS).
  • Experience: 3 – 5 years of combined experience in sports administration and active on-field coaching (preferably within a reputed educational institution, university setup, or sports academy).

Key Competencies:

  • Advanced Administrative Skills: Exceptional skills in official report writing, drafting executive notes, agenda preparation, and minutes of meetings (MoM).
  • Data & Information Management: High proficiency in managing departmental data, including student-athlete performance metrics, sports scholarship data, and budget tracking sheets.
  • Filing & Record Keeping: Meticulous approach to physical and digital filing, document version control, and maintaining confidential administrative records for smooth auditing and retrieval.
  • Technical Coaching Mastery: Strong technical knowledge of sports training, player development, and conditioning methodologies.
  • Communication & Leadership: Exceptional verbal and written communication skills with the ability to command authority and manage teams independently.
  • Tech-Savviness: Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint).
