Job Requirements

We are seeking a seasoned Benefits Operations Specialist to support North America (U.S. and Canada) employee benefits administration as part of our centralized HR Shared Services team. This role plays a critical part in delivering accurate, scalable, and well-governed benefits operations, combining strong execution with analytics, audits, and process discipline across a complex benefits landscape.

The position will partner closely with U.S.-based Benefits, HR Operations, Payroll, Finance, and external vendors (brokers, carriers, TPAs) to ensure benefits programs run smoothly and consistently. While local benefits expertise in North America will continue to own employee-facing interactions and final compliance decisions, this role is expected to operate with high independence, sound judgment, and minimal day-to-day supervision, contributing meaningfully to the overall effectiveness of the North America benefits model.

This is a hands-on specialist role requiring deep familiarity with U.S. benefits operations, payroll integrations, vendor coordination, audits, reporting, and documentation rigor in a large, global organization. The role offers the opportunity to influence how benefits operations are standardized, governed, and scaled in partnership with global and regional HR teams.

Key Responsibilities

  • Benefits Operations & Administration
  • Manage day-to-day administration of U.S. and Canadian benefits programs, including enrollments, changes, and terminations
  • Support bi-weekly payroll cycles by validating benefit deductions, eligibility, and rate accuracy
  • Conduct regular audits across HRIS, payroll, carriers, and TPAs to ensure data integrity
  • Provide end-to-end operational support for annual Open Enrollment (OE), including system configuration support, file testing, and plan setup execution based on approved designs; own OE execution cadence through progress tracking, enrollment reporting, follow-ups, issue management, stakeholder updates, and post-OE audits and data validations to ensure accurate enrollments, deductions, and vendor file alignment, in partnership with U.S. Benefits and vendors.
  • Employee Support & Helpdesk Enablement
  • Independently resolve Tier 1 and Tier 2 benefits-related helpdesk queries with minimal U.S. team involvement
  • Escalate only complex, sensitive, or employee-facing exceptions to U.S.-based Benefits leadership
  • Contribute to knowledge documents, FAQs, and standardized responses to improve self-service
  • Vendor, Broker & TPA Coordination
  • Coordinate with brokers, carriers, and TPAs on operational matters such as eligibility, invoicing, and data corrections
  • Review and validate vendor invoices prior to approval and payment processing
  • Lead vendor setup and operational readiness activities, including system and ACH coordination
  • Compliance Support & Risk Management
  • Support benefits-related compliance activities through accurate data preparation and documentation
  • Apply working knowledge of U.S. federal benefits regulations and Canadian benefits fundamentals
  • Execute compliance tasks under the guidance and approval of U.S.-based Benefits leadership
  • Analytics, Reporting, Audits & Governance
  • Prepare and maintain recurring operational reports covering enrollments, payroll and benefits deductions, invoice and vendor reconciliations, and overall benefits data accuracy
  • Execute structured, recurring audits with defined cadence (e.g., bi-weekly payroll and benefits deduction audits; monthly enrollment and eligibility audits) to ensure accuracy across HRIS, payroll, carriers, and vendors, and drive timely issue resolution
  • Maintain audit-ready documentation, contribute to and continuously improve standard operating procedures (SOPs), and operate with a customer-first, service-oriented mindset while supporting U.S.-based employees and stakeholders

Work Experience

Required Experience & Qualifications

  • 58 years of progressive experience in HR Operations or Benefits Administration, with significant exposure to U.S. benefits
  • Strong hands-on experience managing benefits operations in a large, multi-entity or multinational organization
  • Solid working knowledge of U.S. benefits programs and federal regulations; basic familiarity with Canadian benefits is a plus
  • Proven experience working with HRIS and payroll systems; ADP experience strongly preferred
  • Demonstrated ability to work independently with minimal supervision in a global, matrixed environment
  • High attention to detail with a strong audit and controls mindset
  • Experience working offshore in support of U.S.-based HR or Benefits teams is highly desirable
  • Excellent written and verbal communication skills, with the ability to collaborate effectively with U.S.-based teams and vendors

Skills & Competencies

  • Strong analytical and problem-solving skills; highly proficient in Microsoft Excel
  • Excellent written and verbal communication skills, particularly in professional U.S. business contexts
  • High comfort working with vendors, brokers, and third-party administrators
  • Strong process discipline with the ability to document, standardize, and improve workflows
  • Ability to manage multiple priorities while maintaining accuracy and service quality
  • Mature judgment in knowing when to act independently vs. when to escalate

Work Schedule & Global Collaboration Model

This role supports North America benefits operations and requires regular working-hour overlap with U.S. business hours. The position typically operates in a late-day India schedule, extending into early night hours (until 12:0012:30 a.m. IST), to enable effective collaboration with U.S.-based teams and vendors.
