Responsibilities
As a Spare Parts Coordinator, you'll play a crucial role in ensuring efficient handling of spare parts operations and delivering high service quality to customers and internal stakeholders. Your primary responsibilities will include:
- Quotation Management: Prepare, issue, and follow up on spare parts quotations aligned with customer needs and company pricing policies.
- Order Handling & Execution: Manage customer orders from receipt to delivery, ensuring accuracy, timeliness, and compliance with agreed terms.
- Customer Support: Act as the primary point of contact for spare parts inquiries, delivering responsive and professional service.
- Cross-functional Coordination: Collaborate with local offices, logistics, finance, and sales teams to clarify scope, availability, and delivery timelines.
- Delivery & Documentation Control: Track shipments and ensure all documentation (order confirmations, shipping documents, invoices) is accurate and delivered on time.
- Financial Coordination: Monitor credit limits and work with Finance to avoid delays related to unpaid invoices or order holds.
- Data & System Management: Maintain accurate records in ERP and CRM systems, ensuring data integrity across processes.
- Process Improvement: Contribute to optimizing workflows and implementing best practices in order handling and customer service.
- Operational Alignment: Support coordination across teams, especially during transitions or organizational changes.

We Also Imagine That You
- Have 23 years of experience in customer service, order coordination, or spare parts handling, preferably in a technical or industrial environment.
- Possess a solid understanding of order fulfillment and supply chain processes.
- Have experience working with ERP or CRM systems and are proficient in Microsoft Office.
- Demonstrate strong communication and stakeholder management skills across functions and regions.
- Work in a structured and detail-oriented manner with strong organizational skills.
- Are capable of managing multiple priorities in a fast-paced and evolving environment.
- Are fluent in English; additional languages are considered an advantage.
- Are willing to relocate to Hyderabad or live near the office (Adibatla).
