HR Executive (Site Onboarding, PF & ESI)
Note:Site / Plant HR Executive experience is a must

Purpose & Scope of Job
The role is responsible for ensuring smooth onboarding operations, maintaining accurate employee databases, supporting payroll and statutory compliance processes, and coordinating with site teams to enable efficient HR operations. The position focuses on reducing onboarding delays, maintaining documentation accuracy, ensuring compliance with statutory requirements, and supporting site-level HR administration through structured coordination and monitoring.
Roles & Responsibilities
1. Streamlining of Onboarding Process (40%)
- Maintain and monitor the Onboarding Delay Tracker to capture delay details.
- Coordinate with Site Teams to reduce onboarding delays to zero days.
- Verify designation-wise mandatory documents before employee activation.
- Ensure proper approvals before ID creation and system onboarding.
- Ensure timely completion of joining formalities.
- Maintain complete onboarding documentation records.
- Follow up with sites to close documentation gaps immediately.
2. Database Creation & Streamlining (40%)
- Formalize bulk uploading of employee data into HR software.
- Ensure accurate data entry to reduce manual intervention.
- Maintain and update employee master database regularly.
- Monitor data accuracy related to: Name, Date of Birth, UAN, Aadhaar, Bank details
- Ensure proper backup of all employee records.
- Minimize data errors and duplication.
3. Payroll Processing & Compliance (20%)
- Provide comprehensive support for payroll processing.
- Ensure payroll accuracy, compliance, and timely processing.
- Coordinate with payroll team for attendance, FNF, and salary inputs.
- Support EPF & ESIC compliance activities.
- Track and resolve EPF/ESIC data mismatches (Name, DOB, UAN issues).
- Monitor average resolution time for statutory discrepancies.
- Coordinate EPF office visits for: PF claim submissions, Death claim documentation, Statutory follow-ups
- Maintain proper statutory records and documentation.
4. Site Coordination & Support
- Coordinate closely with Site Managers for onboarding and documentation.
- Support employee grievance resolution related to payroll or compliance.
- Ensure smooth HR operations at site level.
- Assist in implementing HR policies and compliance frameworks.
Experience & Commitment
- Graduate / MBA (HR preferred).
- 12 years of experience in HR operations or site HR.
- English and Hindi Language Must.
- Experience handling onboarding, payroll coordination, EPF & ESIC.
- Exposure to HRMS software and Excel (bulk upload handling).
- Knowledge of statutory compliance processes.
