The Project works closely with Project Managers to ensure project execution adheres to established PMO standards, methodologies, and governance. This role is key to maintaining project data integrity, facilitating project compliance, and supporting internal/external audit activities.
Key Responsibilities and Duties
- Compliance and Governance Support
- Audit Facilitation: Act as a key point of contact for internal and external project audits, gathering necessary documentation, process evidence, and artifacts to demonstrate project compliance.
- Standards Adherence: Monitor project activities to ensure strict adherence to the organization's Project Management Methodology, governance frameworks, and quality standards (e.g., stage-gate reviews, required documentation, sign-offs).
- Compliance Documentation: Maintain and update the central repository of project documents, templates, and procedures, ensuring version control and accessibility for audit and regulatory requirements.
- Quality Assurance: Conduct regular Project Health Checks and QA reviews of project documentation (e.g., Risk/Issue Logs, Change Requests, Status Reports) for accuracy, completeness, and compliance.
- Project Management Support
- Reporting & Metrics: Support Project Managers by generating timely and accurate project and portfolio status reports, including KPIs, progress against schedule, budget burn rate, and resource utilization.
- Process Facilitation: Assist Project Managers in applying PMO processes, including Risk, Issue, Dependency, and Change Management, ensuring all logs and registers are current and complete.
- Financial Tracking: Work with Project Managers and Finance to track project expenditures, manage forecasting updates, reconcile actuals against budget, and report on financial variance.
- Meeting Management: Coordinate and facilitate key project governance meetings (e.g., Steering Committees, Project Working Groups), including agenda preparation, minute-taking, and tracking/follow-up on action items.
- Tool Management: Support the administration and maintenance of the Professional Automation tools tool and other PM software, ensuring data quality and user adherence.
Required Qualifications And Skills
Education and Experience
- Bachelor's degree in Business, Project Management, IT, or a related field.
- 35 years of experience working within a Project Management Office (PMO) or in a Project Support/Coordinator role.
- Proven experience in supporting project audits and ensuring procedural compliance.
- Required Qualifications and Skills (Updated)
Technical Skills & Tool Expertise
- Proficiency in MS Office Suite, especially advanced skills in Excel for data analysis and reporting.
- Solid working knowledge of a Project Portfolio Management (PPM) tool (e.g., Microsoft Project/Server, Jira, Clarity, Planview).
- Professional Services Automation (PSA) Tools: Demonstrated know-how and experience with PSA tools (e.g., FinancialForce, OpenAir, Kimble, or similar), including the ability to generate reports, track resource utilization, and ensure data integrity within these systems.
- Commitment to staying updated on new features, best practices, and updates related to PSA and PPM software tools to drive continuous improvement in PMO processes.
- Familiarity with standard Project Management methodologies (e.g., Waterfall, Agile, Scrum).
- A Project Management certification (e.g., CAPM, Prince2 Foundation, or equivalent PMO-specific certification) is highly desirable.
Work Environment and Expectations
Availability and Travel
- Flexible Working Hours: This role requires a flexible working schedule, with a typical shift of 3:00 PM to 12:00 AM (local time), to ensure sufficient overlap and real-time support for US business hours and Project Managers located in North America.
- Willingness to Travel: The ability and willingness to travel up to 20% of the time, based on project needs, organizational requirements, and client engagement schedules.
Location: UKG Pune Office. (Onsite)
Shift Timings 3:00 PM to 12:00 AM or 4 PM to 1:00 AM IST
Hours: 40 Hours a week.
