Description
The Services Operations Specialist is a customer-facing position responsible for assisting clients with Welcome Phase launch activities, including gathering data, system confirmation information, risk analysis, and project team reviews. The position requires evaluating documentation, activation data, and identifying areas where Microsoft 365 and AI capabilities can improve processes. Knowledge of basic Payroll/HR principles and the ability to motivate and direct customers is required.
Essential Duties and Responsibilities: (other duties may be assigned)
- Partner with Sales Operations and Business Development for accurate project setup.
- Participate in internal and external operational planning.
- Participate in various committees on behalf of Project Operations.
- Contribute to project budget review meetings and communications.
- Creation, management, and retention of change orders.
- Ensure compliance with corporate standards and internal company processes.
- Serve as expert with PSA tools; provide first-line PM process support.
- Provide guidance to Project administrators.
- Use financial data to drive performance improvement.
- Research and resolve escalated account issues.
- Process senior leadership requests and time adjustments.
Secondary Responsibilities
- Participate in team meetings and support cross-functional collaboration.
- Attend calls across time zones as required.
- Collaborate with Resource Deployment, Credit & Collections, Order Management, Finance, Technology & Information, and Field Enablement.
Required Qualifications
- 1-3 years of post-secondary education or relevant experience.
- 2+ years in operations or professional services.
- Minimum 1-3 years in a software sales/service organization.
- Excellent communication, organization, and follow-up skills.
- Ability to work under tight deadlines in a dynamic environment.
- Proficiency in Microsoft Office and web-based applications.
Required Skills
AI Skills & Competencies:
- Experience using Microsoft 365 AI tools including Chat GPT, Copilot, Power Automate, Power BI, etc.
- Ability to identify process gaps and implement AI-driven automation.
- Experience with AI-based data validation, pattern detection, and operational insights.
- Ability to interpret AI-generated outputs and provide insights.
- Strong aptitude for learning emerging AI capabilities.
Certinia PSA Tool Skills
- 2+ years experience with Certinia PSA Tool.
- Proficiency in project setup, resource assignment, milestone tracking, and timecard validation.
- Ability to troubleshoot PSA issues and support PMs.
- Experience generating project financials, utilization reports, and dashboards.
- Strong understanding of PSA workflows, integrations, and data validation.
Interpersonal Skills
- A demonstrated ability to work with people in all levels of the organization to ensure cross-team functionality.
- Detail oriented; able to identify, prioritize and solve problems effectively.
- High self-motivation, responsibility, and emotional flexibility to achieve results.
- Able to work in a diverse, global environment.
- Must be organized and can multi-task in a fast-paced and demanding environment.
- Proficiency in Microsoft Office and an ability to learn other software applications as required of the position. This position also requires the ability to navigate and use web-based applications.
