Job Description

Roles & Responsibilities:

  • End-to-End Project Management:
  • Lead and manage global projects, handling communications, reporting, scheduling meetings, organizing agendas, and ensuring adherence to timelines.
  • Prepare and deliver project presentations, status reports, and other relevant documentation to stakeholders, including senior-level executives.
  • Consolidate and track project data, using tools like MS Excel and PowerPoint for reporting and analysis.
  • Program Management & Reporting:
  • Organize and track business operations programs, reporting on progress, and maintaining key project documents on platforms like Teams and SharePoint.
  • Support the program sponsors and PMOs, ensuring timely follow-ups and efficient information management.
  • Review project status regularly, identify any risks or issues, and ensure compliance with deadlines and desired quality standards.
  • Stakeholder Management:
  • Manage relationships with internal teams and stakeholders, ensuring clear communication and collaboration between teams located in different regions.
  • Act as the point of contact for assigned projects and initiatives, keeping stakeholders informed and engaged.
  • Process Management & Improvements:
  • Collaborate with teams to streamline internal processes and build efficiencies for project management and execution.
  • Support setting up internal standards and processes to improve productivity and ensure smooth project implementation.
  • Collaboration Across Teams:
  • Work with various geographic teams to ensure alignment with strategic initiatives, addressing different time zones when required.
  • Ensure that project members effectively manage dependencies and schedules to ensure successful delivery.
  • Web Content Management:
  • Work with content management systems (CMS) to create, update, and manage website content effectively, ensuring ease of use for non-technical users.
  • Maintain updated content on internal platforms like Teams and SharePoint for easier access and collaboration across teams.

Key Skills and Competencies:

  • Project Management:
  • Strong experience in managing end-to-end project life cycles, including planning, execution, and reporting.
  • Experience with managing large-scale, global projects, focusing on communication and cross-functional collaboration.
  • Communication Skills:
  • Excellent communication skills to engage with senior-level executives, project teams, and clients.
  • Strong written skills for preparing reports, presentations, and meeting agendas.
  • Time Management & Autonomy:
  • Ability to manage multiple tasks and prioritize effectively to meet deadlines.
  • Comfortable working independently with minimal supervision and adapting quickly to new challenges.
  • Collaboration Tools:
  • Proficiency with Microsoft PowerPoint, Excel (advanced knowledge, including pivot tables and formulas), and MS Teams.
  • Familiarity with project management tools like MS Project, SharePoint, and Visio.
  • Web Content Management:
  • Experience working with content management systems (CMS) to manage and update website content.
  • Basic knowledge of web content design principles and the ability to collaborate with web teams.
  • Flexibility & Adaptability:
  • Ability to work across time zones and adapt to changing schedules and assignments.
  • Familiarity with Agile principles and methodologies, with certifications like Agile or Project Management (e.g., PMP, Prince2) being a plus.

Day-to-Day Responsibilities:

  • Project Monitoring & Reporting:
  • Ensure project progress is tracked, statuses are reported, and issues are identified and resolved promptly.
  • Maintain clear communication with internal and external stakeholders to ensure alignment.
  • Stakeholder & Team Coordination:
  • Facilitate meetings, track action items, and ensure the timely follow-up on any project dependencies or issues.
  • Act as a liaison between project teams, ensuring smooth communication and task delegation across different geographical locations.
  • Content Management & Updates:
  • Oversee website content updates, using CMS tools, and collaborate with design teams to ensure content is aligned with strategic objectives.
  • Documentation & Reporting:
  • Compile data, prepare presentations, and ensure all project documents are maintained and accessible to relevant stakeholders.

What We're Looking For:

  • Experience & Skills:
  • 3-4 years of relevant project management experience, preferably in managing global projects.
  • Familiarity with Agile principles and tools, with certifications in Project Management being advantageous.
  • Proficient in MS Excel and PowerPoint for reporting and presentation creation.
  • Communication & Organizational Skills:
  • Excellent written and verbal communication skills, especially when interacting with senior-level executives.
  • Strong attention to detail, time management, and the ability to work autonomously with minimal supervision.
  • Client & Stakeholder Engagement:
  • Ability to build and maintain strong relationships with internal teams, clients, and other stakeholders.
  • Adaptability & Proactivity:
  • Ability to quickly adapt to new assignments and environments.
  • Proactive in identifying issues and addressing them before they impact the project timeline.
