Job Description

Key Role Responsibilities:

Purchase Order Management & Buying:

. Create, process, and amend POs in the Marine Purchasing System (MPS) in line with procurement policy.

. Procure marine spares, consumables, safety equipment, technical services, and operational supplies as per category guidance.

. Ensure accuracy in pricing, specifications, delivery terms, cost centre, and budget alignment. Supplier Coordination & Order Tracking:

. Obtain quotations, confirm availability, and align on lead times with approved suppliers.

. Track open orders, shipments, and dispatch status to ensure timely delivery.

. Resolve supplier queries, documentation issues, and invoice discrepancies.

Stakeholder Support:

. Partner with Superintendents, Engineers, and Vessel Managers to validate requirements and source materials.

. Provide regular updates on order status and proactively flag delays.

. Support urgent and unplanned procurement for maintenance and technical needs.

Compliance & Data Management:

. Ensure all procurement activities adhere to policy and approved supplier frameworks.

. Maintain accurate records, system updates, and documentation (POs, confirmations, delivery notes).

. Support data quality improvements in supplier and item master data.

Cost Optimization & Continuous Improvement:

. Compare quotes to drive cost efficiency and value for money.

. Contribute to process improvements and faster turnaround times.

. Support KPI tracking (PO cycle time, accuracy, supplier performance, service efficiency).

Skills & Competencies:

. 6-8 years of experience in procurement or supply chain, preferably in a BPO/shared services environment.

. Strong experience in PO processing and transactional buying.

. Excellent communication and stakeholder management skills.

. High attention to detail and ability to manage high-volume requests.

. Experience in marine/fleet or technical procurement (preferred).

. Knowledge of Incoterms, import logistics, and supplier performance (preferred).

Education & Qualifications: Bachelor's degree in engineering, or a related field.
