Position Overview
Qualys is seeking an experienced Senior Recruiting Coordinator (Contract) to support our US and EMEA Talent Acquisition teams. This role plays a critical part in delivering an exceptional hiring experience through seamless interview coordination, candidate engagement, and recruiting operations support.
The ideal candidate will bring a combination of strong stakeholder management, operational excellence, and recruiting process expertise to help drive efficient hiring across multiple functions and geographies. Working closely with recruiters, hiring managers, executives, and interview teams, this individual will serve as a trusted partner who ensures a world-class experience for candidates while enabling recruiters to focus on identifying and hiring top talent.
This position will be based in our Pune office and will primarily support teams operating across US and EMEA time zones.
Responsibilities
- Coordinate phone, virtual, and onsite interviews across multiple time zones, ensuring a seamless experience for candidates, recruiters, hiring managers, and interview teams.
- Manage complex scheduling requirements, resolve conflicts, and handle last-minute changes with professionalism and urgency.
- Serve as the primary point of contact for candidates, providing timely communication regarding interview logistics, schedules, and next steps.
- Partner closely with recruiters, hiring managers, and interviewers to ensure interview activities are executed efficiently and feedback is collected promptly.
- Maintain accurate candidate records, interview activity, and recruiting data within Workday and other recruiting systems.
- Monitor hiring workflows and support recruiting operations to ensure process compliance, data accuracy, and operational excellence.
- Collaborate with Talent Acquisition team members, Hiring Managers across regions to support hiring initiatives, share best practices, and drive consistency in recruiting processes.
- Leverage recruiting technologies, automation, and AI-enabled tools to improve coordination efficiency, recruiter productivity, and candidate experience.
- Identify opportunities to streamline processes, improve scheduling effectiveness, and enhance the overall hiring experience.
- Support business-critical and leadership hiring through effective planning, communication, and execution.
Required Qualifications
- Bachelor's degree required; MBA or HR specialization preferred.
- 6+ years of experience in Recruiting Coordination, Talent Acquisition Operations, Recruiting Administration, or a related recruiting support role.
- Experience supporting recruiting teams in a fast-paced, high-growth environment.
- Proven experience coordinating interviews across multiple time zones.
- Experience supporting leadership and executive hiring processes.
- Hands-on experience with Applicant Tracking Systems, preferably Workday.
- Strong proficiency with Microsoft Outlook, Teams, Excel, and scheduling tools.
- Excellent organizational, planning, and time-management skills.
- Outstanding written and verbal communication abilities.
- Ability to manage multiple priorities with minimal supervision.
- Strong stakeholder management and customer service orientation.
- Exceptional attention to detail, accuracy, and follow-through.
