Job Summary :
We are seeking a proactive and detail-oriented Senior Purchase Executive to manage procurement activities, vendor coordination, quotations, and internal cross-functional communication. The ideal candidate will play a critical role in ensuring seamless coordination between vendors, sales, accounts, logistics, and clients while maintaining accuracy in documentation and timelines.
This role requires strong follow-up skills, commercial understanding, and the ability to multitask efficiently in a fast-paced environment.
Key Responsibilities:
Procurement & Vendor Coordination:
- Coordinate with vendors for production timelines, material availability, and quality standards.
- Develop and maintain strong vendor relationships for timely procurement and smooth operations.
- Prepare and issue Purchase Orders (POs) to suppliers.
- Follow up with suppliers regarding order status, lead times, and dispatch schedules.
- Assist in vendor development and sourcing activities.
Quotation & BOQ Management:
- Prepare Bills of Quantities (BOQs) and quotations as per project/client requirements.
- Coordinate with the sales team for quotation approvals and order finalization.
- Ensure accuracy in costing, specifications, and commercial documentation.
Cross-Functional Coordination:
- Maintain regular communication with clients regarding order progress and delivery timelines.
- Visit project/client sites for fabric selection, swatch approvals, and color confirmations.
- Address coordination-related concerns to ensure client satisfaction.
Documentation & Reporting:
- Maintain accurate procurement records, vendor databases, and purchase documentation.
- Ensure timely communication and documentation across all stakeholders.
- Prepare reports and MIS as required.
Required Skills & Competencies:
- Strong understanding of purchase coordination, material management, and supply chain processes
- Experience in vendor coordination and procurement operations
- Good knowledge of quotation preparation, BOQs, and tender documentation
- Proficiency in MS Excel and documentation tools
- Strong communication and stakeholder management skills
- Ability to multitask and work under deadlines
- Understanding of import procedures will be an added advantage
Qualification:
- Bachelor's degree in Commerce, Supply Chain, Business Administration, or related field
- Commerce graduates preferred
