Reporting To Senior Vice President

The PMO – Facility Operations will act as the central governance, analytics, and strategic support function for Simpliwork's Pan-India managed office portfolio. This is a high-visibility Individual Contributor (IC) role designed for a seasoned facilities operations professional with strong expertise in governance, reporting, operational analytics, and cost optimization. The role requires someone who can convert operational data into actionable business insights, drive portfolio-wide governance initiatives, and support leadership through data-driven reporting and strategic recommendations. The ideal candidate should combine strong ground-level operational understanding with excellent analytical, presentation, and stakeholder management capabilities.

Role & Responsibilities

Data Analytics & Executive Reporting

  • Consolidate, cleanse, and analyse operational data from site checklists, inspection reports, vendor trackers, and daily log sheets across multiple locations.
  • Develop insightful MIS dashboards, management presentations, and Monthly Management Review (MMR) decks for leadership teams.
  • Leverage advanced Excel, PowerPoint, BI tools, and AI-enabled solutions to automate reporting and improve data visualization.
  • Identify operational trends, risks, inefficiencies, and improvement opportunities through data analysis.

Financial Governance & Cost Optimization

  • Conduct cost-benefit analysis (CBA) across operational setups, utilities, manpower deployment, and facility services to identify optimization opportunities.
  • Review Annual Maintenance Contracts (AMCs), Scope of Work (SOW), BOQs, and vendor agreements to ensure commercial and operational effectiveness.
  • Recommend cost rationalization and vendor consolidation strategies while maintaining service quality standards.
  • Analyse SLA performance metrics and support vendor governance reviews across the portfolio.
  • Ensure accuracy and completeness of BOQs and SOWs prior to RFP release to support efficient project execution and delivery.

Operational Governance & Compliance

  • Develop, standardize, and periodically update SOPs for facility operations across managed office locations.
  • Track operational readiness and transition of new sites into steady-state operations while ensuring adherence to timelines and governance checklists.
  • Monitor compliance with central governance standards, ESG initiatives, safety protocols, and operational policies across regional teams.

Centre of Excellence (COE) & Strategic Initiatives

  • Drive ESG and sustainability initiatives across the portfolio, including program development and implementation tracking.
  • Lead energy conservation and operational efficiency initiatives.
  • Identify and implement digitization and automation opportunities within facility operations.
  • Evaluate and introduce new tools, systems, and technologies to enhance operational efficiency and reporting capabilities.

Skillset required

  • Experience in Facilities Operations, along with PMO, Governance, Business Analytics, or Strategic Operations roles within the Managed Office, Coworking, Commercial Real Estate, or Facility Management industry.
  • Strong understanding of end-to-end facility operations and workplace management.
  • Excellent analytical skills with advanced proficiency in MS Excel, PowerPoint, reporting dashboards, and data visualization tools.
  • Hands-on experience with AI tools and automation platforms for reporting and operational analysis.
  • Strong stakeholder management and communication skills with the ability to influence cross-functional and regional teams without direct reporting authority.
  • Ability to translate operational complexities into structured, data-driven executive insights and presentations.
  • High ownership mindset with strong attention to detail and problem-solving capabilities.
  • Experience in ESG reporting and sustainability programs.
  • Strong commercial understanding of vendor management and facility cost structures.
