Job Description: Senior Payroll Specialist (EOR & Indian Payroll)

Location: India (Remote/Hybrid/On-site as applicable)

Experience: 5+ years

Reports to: Head of Payroll / HR Operations Manager

About The Role

We are seeking a detail-oriented and highly knowledgeable Senior Payroll Specialist to join our team, with a strong focus on Employer of Record (EOR) services, consulting payroll, and comprehensive HRMS management. The ideal candidate will have deep expertise in Indian payroll regulations, including ESI, PF, and all Indian taxations, and will play a pivotal role in ensuring accurate, compliant, and timely payroll delivery for our clients or internal employees.

This role is a builder role for someone who takes personal accountability, is comfortable rolling up their sleeves, and thrives in a fast-paced environment.

Key ResponsibilitiesPayroll & Compliance Management

  • End-to-End Payroll Processing: Own the end-to-end payroll cycle, from data collection to final salary disbursement, ensuring accuracy and timeliness for employees in India and other APAC countries (as applicable).
  • Statutory Compliance: Ensure strict compliance with all Indian statutory requirements, including Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), and TDS deductions under Section 192.
  • Taxation & Reporting: Manage payroll tax reporting, filings, and statutory payments. Oversee TDS returns (Form 24Q), Form 16 generation, and ensure compliance with new and old tax regimes.
  • Reconciliation: Execute detailed payroll reconciliations, validating current results against prior periods and source data to identify and correct errors.

EOR Services & Consulting

  • EOR Payroll Expertise: Manage payroll operations for employees hired through an Employer of Record (EOR) model, ensuring compliance with state-wise employment laws and statutory contributions.
  • Client/Stakeholder Consultation: Act as a subject matter expert, consulting with internal stakeholders or clients on payroll-related issues, including employee lifecycle events, terminations, and final settlements (F&F).
  • State-Wise Compliance: Apply state-specific rules for Professional Tax, LWF, and Shops & Establishments Acts, ensuring correct deductions for employees across India.

HRMS & Process Improvement

  • HRMS Management: Leverage and manage HRMS platforms (e.g., Workday, ZingHR, greytHR, Darwinbox) for payroll data integrity, workflow automation, and report generation.
  • Data Integrity: Maintain and monitor data accuracy in the HRMS to support seamless payroll processing, including managing employee data points such as UAN, bank details, and tax declarations.
  • Process Optimization: Drive process standardization, simplification, and automation across payroll and HR operations. Use advanced Excel and system tools to create efficiencies.

Key RequirementsExperience & Qualifications

  • Experience: 5+ years of experience in Indian payroll processing in a multinational or shared services environment.
  • EOR Knowledge: Demonstrable experience working with Employer of Record (EOR) models or payroll services for GCCs/global clients is essential.
  • Statutory Expertise: Deep and practical knowledge of PF, ESI, PT, TDS, and Labour Laws in India.
  • Education: Diploma or degree in Human Resources, Business, Accounting, or a related field.

Technical Skills

  • HRMS Proficiency: Experience with HRMS platforms (e.g., Workday, CloudPay, SAP SuccessFactors, Keka, or greytHR).
  • Advanced Excel: Strong skills in Excel (pivot tables, VLOOKUP, data analysis) for reporting and reconciliation.
  • Payroll Software: Familiarity with payroll software and compliance tools is a plus.

Soft Skills

  • Analytical & Detail-Oriented: Strong reconciliation and problem-solving skills with a high degree of accuracy.
  • Stakeholder Management: Excellent communication skills to interact with clients, HR, Finance, and external vendors.
  • Self-Starter: Comfortable working in ambiguity and able to build structure where it does not yet exist.
  • Integrity: High level of discretion in handling sensitive employee data.
