We are looking for an experienced payroll and accounts professional to take ownership of accurate, timely Australian payroll and dependable day-to-day finance operations. This is not a basic data-entry role. You will investigate payroll exceptions, reconcile information across systems, prepare payment files and journals, maintain accurate accounts, and provide clear reporting to management.
You will work remotely from India as part of our finance function, reporting to our Finance Manager in Australia. The right person will be methodical, confident working to fixed deadlines and comfortable raising risks early when information does not reconcile.
· Process end-to-end Australian payroll across multiple entities and employee groups using Employment Hero Payroll, formerly KeyPay.
· Review timesheets and apply approved adjustments for kilometres, leave, TOIL, salary sacrifice, training, sleepovers, overtime and other allowances.
· Prepare and upload payroll data, identify shift overlaps and exceptions, and work with rostering and operational teams to resolve issues before finalisation.
· Validate pay categories, rates, leave without pay and fortnightly hour limits, then reconcile payroll data between out CRM and Employment Hero Payroll.
· Finalise pay runs, prepare Single Touch Payroll reporting, release payslips and respond promptly to payroll queries.
· Monitor the accounts payable mailbox, record and code supplier bills in Xero, maintain clear email status tags and submit bills for approval.
· Prepare ABA and BPAY payment files, offshore payments and account top-ups for authorised review and release under maker-checker controls.
· Issue remittance advice and maintain complete supporting records for each payment cycle.
· Complete bank, credit-card and Weel reconciliations across entities, checking GST treatment, ledger coding and supporting receipts.
· Investigate variances, document clear explanations and follow up missing information with the relevant team members.
· Prepare overtime, payroll comparison, payroll trend, billable-hours, KPI and profitability reports with concise management commentary.
· Reconcile salary, wages, superannuation and PAYG balances to payroll records.
· Prepare payroll and leave-provision journals across entities for review and posting.
· Complete month-end financial processes, including balance sheet reconciliations, journal entries, accruals and prepayments, depreciation schedules, fixed asset register maintenance, and general ledger reconciliations.
· Support monthly financial reporting and maintain accurate fixed-asset reconciliation records.
· Every pay run is accurate, fully reconciled and completed by the agreed deadline.
· Payroll exceptions and missing information are identified early, followed up and clearly documented.
· Accounts payable and payment batches are complete, supported and ready for approval on time.
· Bank and card reconciliations remain current, with unresolved items actively followed up.
· Management reports are accurate, easy to understand and delivered on schedule.
· Sensitive employee and financial information is handled with discretion and strong control discipline.
· At least three years of hands-on payroll and accounts experience, including demonstrated Australian payroll processing.
· Sound working knowledge of Single Touch Payroll, PAYG, superannuation, leave and payroll reconciliations.
· Hands-on experience with Xero and an Australian payroll platform, ideally Employment Hero Payroll or KeyPay.
· Strong Excel skills, including pivot tables, lookups such as XLOOKUP or INDEX-MATCH, data comparisons and variance analysis.
· Strong attention to detail, a disciplined approach to reconciliation and the ability to meet non-negotiable payroll deadlines.
· Clear written and spoken English, with confidence communicating through Microsoft Teams and email in a remote environment.
· A secure home workspace, reliable internet and availability during the agreed hours aligned with the Australian finance team.
· Experience applying an Australian modern award, particularly SCHADS or another complex award.
· Experience with MYP, Splose, Weel, NAB payment files or multi-entity accounting.
· Experience preparing payroll journals, leave provisions, billable-hours reporting or profitability analysis.
· A bachelor's degree in accounting, finance or commerce.
· Own a meaningful finance function with clear deadlines and visible impact.
· Work directly with an Australian finance and leadership team.
· Join an established offshore team and a growing Australian care organisation.
· Build deeper experience in Australian payroll, reporting and finance operations.
