Senior MIS Executive - Payroll to manage end-to-end payroll processes and deliver accurate payroll MIS, analytics, and management reporting. The ideal candidate will ensure timely salary computation and disbursement, maintain statutory compliance, drive process improvements, and provide oversight or mentorship to junior payroll staff. Key Responsibilities
- Oversee and process monthly payroll for all employees accurately and on time; review and validate payroll runs performed by team members and ensure gross-to-net calculations are correct (CTC breakdown, employer/employee contributions).
- Maintain and reconcile employee attendance, leave records, and overtime data; ensure accurate inputs for payroll processing and month-end cut-offs.
- Calculate salary components including incentives, deductions, reimbursements, arrears, retro pay, leave encashment, final settlement and adjustments; ensure correct application of policies and statutory limits (PF, ESI, gratuity calculations).
- Prepare, analyse, and present payroll MIS, dashboards, and monthly/quarterly reports for management; identify trends, variances, cost drivers and present actionable insights (using Excel, Power BI or similar).
- Ensure statutory compliance and timely filing of statutory returns and reports EPF/EPFO (ECR preparation & PF challan), ESI returns and contributions, Professional Tax remittances, TDS on salary (Form 24Q, issuance of Form 16), LWF and Shops & Establishment filings and perform regular statutory reconciliations.
- Coordinate with HR and Finance teams for payroll inputs, reconciliations, budgeting, payroll accounting (journal entries, accruals) and bank payfile processing.
- Handle complex employee salary-related queries and escalations; provide guidance and training to junior team members, and document payroll procedures and controls.
- Maintain confidentiality of employee data and payroll information; implement and monitor controls to protect sensitive information and support internal/external audits.
- Drive payroll process improvements, system implementations/upgrades and automation initiatives (Excel VBA, Power Query, SQL scripts, report automation) to increase efficiency and accuracy; support integration with HRMS/ERP systems (e.g., SAP HCM, Oracle, Workday, ADP).
- Generate payslips, salary statements, TDS certificates (Form 16), and related documentation; support statutory and payroll audits and prepare reconciliations (PF/ESI/TDS/GL/bank).
Requirements
- Bachelor's degree in B.Com/Finance/HR or related field.
- 47 years of experience in payroll processing with exposure to MIS/reporting and handling statutory compliance. This reflects the senior-level expectations for ownership, accuracy, and mentoring. Candidates with 34 years of strong payroll MIS experience and demonstrated leadership potential may be considered on a case-by-case basis, with the final title and level commensurate with demonstrated skills and responsibilities.
- Strong proficiency in MS Excel (including pivot tables, VLOOKUP/XLOOKUP, INDEX-MATCH, formulas, Power Query and basic macros/VBA) and experience with payroll/HRMS software (ERP systems such as SAP HCM, Oracle HCM, Workday or payroll platforms like ADP or comparable systems).
- Experience preparing payroll MIS, dashboards and management reports; ability to analyse data, build automated reports and present actionable insights (Power BI/Tableau/Excel).
- Good knowledge of labour laws and statutory regulations applicable in India, including Employees Provident Fund (EPF/EPFO), Employees Pension Scheme (EPS), Employees State Insurance (ESI), Professional Tax (PT), Payment of Gratuity Act, Shops & Establishment Acts, Minimum Wages and Income Tax (TDS on salary Section 192). Practical experience with PF ECR, PF challan, ESI returns, Form 24Q, Form 16 issuance and TDS challans is highly desirable.
- Hands-on experience with payroll reconciliations (PF/ESI/TDS/GL/bank), payroll accounting entries, month-end payroll close and payroll banking processes.
- Exposure to automation and scripting (SQL queries, Excel VBA, Power Query) and familiarity with report tools (Power BI/Tableau) to drive MIS improvements.
- Demonstrated attention to detail, numerical accuracy, problem-solving skills and the ability to manage deadlines in a high-volume payroll environment.
- Good communication, coordination and stakeholder management skills; experience mentoring or supervising junior staff is a plus.
