Job Description

Asymbl is hiring a Senior Marketing Project Manager on a 3-month contract to build and operationalize project management processes across our marketing organization. This is a hands-on, high-impact role for someone who thrives in fast-moving environments, understands how marketing functions work end-to-end, and can bring structure without slowing teams down.

You will be responsible for standing up a project management platform (such as Asana, Monday.com, or a comparable tool), mapping workflows across internal teams and external agency partners, and creating the operational infrastructure that allows us to plan better, coordinate faster, and deliver on time. You will also leverage AI-powered tools, including Claude, integrated into your PM workflows to accelerate planning, surface bottlenecks, and improve decision-making.

This role reports directly to the CMO and requires someone who can self-start on Day 1, work across US and India time zones, and earn trust quickly by delivering early wins.

Key Responsibilities

Project Management Process & Platform

  • Implement a marketing project management platform (Asana or Monday.com) tailored to the team's workflows
  • Design and roll out standard processes by project type and task type.
  • Configure project views, dashboards, and reporting for the CMO and team leads to track what's in-flight, at-risk, and completed
  • Integrate AI tools (Claude and its platform integrations) into project workflows for automated status updates, task creation, timeline analysis, and capacity insights

Capacity Planning & Timeline Management

  • Benchmark how long tasks and deliverables take across demand gen, content, marketing ops, and agency partners
  • Build capacity models that map individual and team bandwidth against planned work to prevent overcommitment
  • Create and maintain a unified marketing calendar that ties campaigns, content, PR, and web launches into a single view
  • Identify bottlenecks and dependencies early, and proactively adjust timelines before deadlines slip

Cross-Functional & Agency Coordination

  • Serve as the central coordination point across internal teams (demand gen, marketing ops, content) and external agencies (PR, creative, website development, SEO)
  • Run weekly syncs and standups with internal stakeholders and separate cadences with each agency partner
  • Track agency deliverables, SOW commitments, and timelines; hold external partners accountable to agreed deadlines
  • Map dependencies between internal and external workstreams so nothing ships in isolation

Process Improvement & Change Management

  • Conduct retrospectives after major campaigns and launches to capture what worked, what didn't, and what to change
  • Build a continuous improvement loop into the PM process so coordination and delivery get better each cycle
  • Establish SLAs and turnaround time expectations for recurring deliverable types

Reporting & Visibility

  • Deliver weekly status reports to the CMO with clear visibility into project health, risks, and blockers
  • Build dashboards that give team leads and the CMO real-time insight without requiring manual check-ins
  • Track and report on on-time delivery rates, cycle times, and capacity utilization as key operational KPIs

Tools & Technology

You will be expected to work with and integrate the following into daily workflows:

  • Project Management: Asana, Monday.com, Wrike, or comparable platform (you will lead the selection and implementation)
  • AI & Productivity: Claude (Anthropic) for workflow automation, task planning, status synthesis, and capacity analysis; integrated into the PM platform and team communication tools
  • Collaboration: Slack, Google Workspace, and video conferencing tools for async and real-time coordination across time zones
  • Marketing Tech: Familiarity with tools like HubSpot, CMS platforms, analytics dashboards, and creative proofing tools is a plus

Required Qualifications

  • 7+ years of project management experience, with at least 3 years in a marketing or agency environment
  • Proven track record of building PM processes from scratch in organizations that lacked formal structure
  • Deep understanding of how marketing functions work holistically: demand gen, content, ops, creative, web, PR, and SEO
  • Hands-on experience implementing and administering project management platforms (Asana, Monday.com, Wrike, or similar)
  • Experience coordinating across internal teams and external agency partners simultaneously
  • Strong capacity planning skills with the ability to benchmark task durations, map bandwidth, and forecast delivery timelines
  • Comfortable working across US and India time zones with flexible scheduling
  • Self-starter who can deliver value in Week 1 without extensive onboarding or hand-holding
  • Excellent communication skills with the ability to influence without authority across distributed teams

Preferred Qualifications

  • Experience working in a high-growth startup or scale-up environment
  • Familiarity with AI-powered tools (Claude, ChatGPT, or similar) and their application to operational workflows
  • PMP, PMI-ACP, or equivalent certification
  • Experience managing agency SOWs, budgets, and deliverable tracking
  • Background in B2B SaaS or technology marketing
