Role Overview
This role sits at the center of Zensciences leadership ecosystem, functioning as the operational right hand to the CEO. It is designed for a senior professional who brings equal
measures of structure, judgment, and executional discipline someone who can hold the
organizations most critical cross-functional threads together and ensure leadership priorities
translate into outcomes.
The person will work across functions spanning business operations, revenue, people, and
culture interfacing regularly with the CBO, CFO, HR, and senior team leads. This is not a
communications or strategy role; it is fundamentally an execution and accountability role,
built for someone who finds clarity in complexity and drives momentum where it is most
needed.
This is a high-trust, high-visibility position with direct access to senior leadership and exposure
to how a leading independent agency is run at scale.
Role Purpose
This role exists to ensure that business-critical conversations happen on time, decisions are followed through, and nothing of consequence falls through the cracks.
Success in this role looks like a leadership team that operates with greater speed and confidence, a set of cross-functional programs that run with discipline, and an organization that feels the benefit of sharper rhythm, clearer accountability, and a stronger internal culture.
Key Responsibilities
1. Business Operations & Leadership Cadence
- Own and drive the CEO's operational calendar ensuring the right conversations happen with the right people at the right frequency
- Manage cross-functional reviews, leadership check-ins, and follow-through on decisions and commitments
- Track business health metrics in partnership with the CBO client status, delivery health, escalations, and key operational signals
- Ensure leadership is consistently well-informed and that action items from key meetings are closed out with accountability
2. Revenue & Pipeline Oversight
- Work closely with Finance and business leads to maintain visibility into the revenue pipeline, leads, and forecast
- Track pipeline updates, next steps, and follow-ups surfacing patterns, gaps, and risks proactively
- Support in ensuring commercial conversations are progressing and that nothing critical is stalled or under-prioritized
3. People Operations & Culture
- Partner with the CBO and HR leadership on people operations including org rhythms, performance cycles, and workforce planning conversations
- Take ownership of defining and operationalizing Zensciences culture agenda programs, rituals, internal initiatives, and team engagement
- Bridge the gap between leadership decisions and on-the-ground execution across teams.
4. Cross-Functional Program Management
- Own and run high-priority internal programs and initiatives that require cross-team coordination and sustained follow-through
- Work across strategy, accounts, digital, finance, and people functions to drive alignment and execution
- Identify risks, resolve blockers, and keep programs on track escalating judiciously and solving independently wherever possible
Desired Skills & Experience
- 812+ years of relevant professional experience; MBA preferred
- Prior experience in a founder's office, business operations, or senior program leadership role ideally within a professional services, agency, or consulting environment; ideal, not mandatory
- Demonstrated ability to work directly with C-suite or senior leadership in a high-trust capacity
- Strong command over business operations comfortable with revenue metrics, pipeline management, and operational dashboards
- Exceptional stakeholder management able to work across levels and functions with credibility and influence
- Structured thinker with the ability to simplify complexity and drive decisions forward
- High ownership orientation someone who closes loops, follows through, and holds themselves and others to account
- Operates well in a fast-moving, ambiguous environment without needing a defined playbook
