Job Description

Position: Senior Manager Administration

Reporting to: Registrar/President

Location: FIIB Campus, New Delhi

Role Overview

The Senior Manager Administration will lead the institute's administrative, facility, and infrastructure functions, ensuring a safe, efficient, and well-maintained campus environment. The role involves strategic planning, process optimization, vendor management, and cost control while fostering a culture of accountability, service excellence, and continuous improvement across administrative operations.

Key Responsibilities

Facility & Infrastructure Management

  • Oversee end-to-end campus administration, including building maintenance, security, housekeeping, and utilities.
  • Ensure timely upkeep of facilities, preventive maintenance schedules, and compliance with safety and environmental standards.
  • Manage space planning, office layout, and infrastructure upgrades aligned with institutional growth.

Vendor & Procurement Management

  • Identify, evaluate, and manage vendors and service providers for administration, maintenance, and procurement.
  • Negotiate contracts, SLAs, and AMC renewals to ensure cost efficiency and quality assurance.
  • Develop a transparent and accountable procurement process aligned with institutional policy.

Budgeting & Cost Optimization

  • Prepare and monitor the annual administrative budget.
  • Track operational expenses, analyze variances, and drive cost-saving initiatives without compromising quality.
  • Provide monthly MIS and analytical reports to management for decision-making.

Compliance & Risk Management

  • Ensure adherence to statutory and safety compliances (fire, electrical, ISO, and audit readiness).
  • Conduct regular risk assessments and implement preventive measures.
  • Liaise with local authorities, government bodies, and vendors for compliance documentation and licenses.

Team Leadership & Process Improvement

  • Lead and mentor the administration team to ensure high service standards and timely delivery.
  • Develop and implement SOPs for key administrative functions.
  • Promote digitalization of administrative processes to improve efficiency and record management.

Travel, Events & Workplace Support

  • Oversee travel, logistics, and hospitality arrangements for staff, guests, and events.
  • Support campus events, corporate engagements, and academic functions through effective logistics coordination.
  • Ensure overall employee experience and workplace satisfaction through smooth admin operations.

Qualification & Experience

  • Graduate in any discipline; MBA/PGDM preferred.
  • 1218 years of progressive experience in administration, infrastructure, or facilities management.
  • Proven expertise in vendor management, budgeting, compliance, and project execution.
  • Exposure to educational institutions or corporate setups with multi-site operations preferred.

Skills & Competencies

  • Strong leadership and stakeholder management skills.
  • Excellent planning, negotiation, and communication abilities.
  • Proficient in MS Office, Google Workspace, and ERP systems.
  • Basic understanding of IT especially with respect to procurement, purchasing, and supervision.
  • Analytical, cost-conscious, and proactive in problem-solving.
  • Ability to handle multiple priorities with discipline and attention to detail.
