ROLE SUMMARY
- The Logistics Department is seeking a highly experienced Senior Logistics Specialist with a minimum of 10 years of proven experience in international project logistics, preferably within EPC, energy, industrial, infrastructure or large-scale capital projects.
- The ideal candidate will possess extensive expertise in planning, coordinating, and executing complex global logistics operations, including multimodal transportation, heavy-lift and oversized cargo movements, customs clearance, warehousing, and supply chain optimization. A comprehensive understanding of international logistics markets, industry stakeholders, freight forwarding networks, regulatory requirements, and commercial practices is essential.
- The successful candidate should demonstrate strong leadership capabilities, strategic thinking, and advanced analytical and negotiation skills. They must be capable of managing logistics risks, developing transportation . strategies, and driving cost-effective solutions while ensuring the timely delivery of project materials across multiple locations and countries.
RESPONSIBILITIES
- Prepare preliminary list of equipment and materials with as much detail as possible (dimensions, weights, loading ports, delivery dates...)
- Assist the Logistics Coordinator in the creation of RFIs for tender process.
- Evaluate all commercial and technical bids after clarifying and needed negotiations.
- Revise Purchase Orders issued by logistics department analyzing implications of the agreed INCOTERM
- Maintain direct contact with all suppliers since Kick Off Meeting
- Notify and confirm to all parties involved in the supply chain (Project Management, Client, Customs Agent, Site material receiving department...etc) all shipments that take place with their departure and estimated arrival at destination port dates.
- Coordinate alongside vendor and FFW, the correct compliance of the agreed delivery INCOTERMS, and the correct delivery of equipment and materials so they can be shipped on the first available departure option.
- Gather all documents required for customs clearance formalities in country of destination (Invoice, Certificate of Origin, Packing lists, Insurance...) and request the FFW the correct import documents (B/L, AWB, CMR).
- Update information regarding all shipments in all tracking documents and tools.
- Support Customs Team to arrange the disposition of funds for payment of taxes and duties, if so is stablished in the contract with our client.
- Become aware of characteristics of the assigned project and Become aware and apply Logistics Department Work procedures, and all others issued by related departments which may be of application to logistics endeavors
- Become aware of the established strategy for the transportation of materials and equipment.
- Support Logistics Coordinator in the process of tabulation and awarding of Purchase Orders
- Assist Logistics Coordinator in Kick off meetings with vendors to assure that correct procedures are strictly followed and communication channel is established between Logistics department and Vendor.
- Revise, comment and ultimately approve against Logistics department standards Packing procedures received from vendors making sure project packing and Marking instructions are strictly observed
- Support Logistics Coordinator and Heavy transport Engineer in drawing revisions
- Takes care of the adaptation, control and supervision of FFWs making special emphasis on achievement of KPIs
- Responsible for creation and follow up of Shipments and their documents from release of materials by vendor up to delivery at destination
- Follow up of arrival of materials to delivery point, be it assembly, warehouse , subcontractor workshop, etc... and under strict communication and coordination with Material Control & Warehouse and Construction department personnel.
- Control of returns of empty containers already unloaded at destination
- Responsible of keeping all reports and department databases and control apps, all reporting updated (Logistics control software, SP Materials, Invoicing controls...Etc.) and distribution in a timely manner if so is established
- In charge of emission, revision, register and control of proforma invoicing from FFW prior to monthly invoice
- Take care of notification of incidents to Transport insurance following agreed procedure with Insurance company and legal department
- Verify with FFW that shipment takes place and is organized in the most cost efficient and timely manner, having in mind transit times and project needs
- Notify transport insurance company of new shipments and verify no shipment runs unassured Provide if necessary BL instructions to FFW. Receive from FFW notification of Departure and set of shipping BLs.
- Make sure with Logistics Administrative that all necessary documents for import customs formalities for each shipment has been issued correctly and in due time to facilitate those customs formalities without any delay.
- If required by Logistics Manager, assist physically to the suppliers workshops or departure ports to witness loading ops for a particular material or equipment.
- Aid Purchasing department in purchasing stages providing them with budgetary quotations that will enable them to properly award.
- Make sure relations with other departments in the project task force run smoothly.
TECHNICAL SKILL
- Bachelors Degree or equivalent preferably in International Transport and/or Trade (Chambers of Commerce od specialized entities)
- Analytical and problem solving skills. Very Good teamwork skills
- Ability to work under pressure
- High knowledge regarding International multimodal transport (sea, air, road & rail)
- High Knowledge of types of industrial equipments and materials
- Very Good communication and interlocution skills, assertiveness and resilience.
- English: C1 Fluency desired.
- Knowledge in control and management tools required (SAP,..)
- Knowledge of office suite tools and programs required
- Availability to travel
