We are looking for a capable and proactive Senior HR Executive who can support the company's next stage of professionalization and growth.
Position OverviewThe Senior HR Executive will be responsible for managing and supporting key HR functions across recruitment, onboarding, attendance, employee records, employee engagement, HR operations, statutory compliance coordination, grievance handling, and plant-level workforce discipline.
The ideal candidate should have strong experience in HR operations within a manufacturing environment and should be comfortable working with plant teams, supervisors, staff, workers, contractors, and senior management.
This role requires a person with strong communication skills, ownership, discipline, confidentiality, and the ability to ensure that HR processes are followed properly across the organization.
Key Responsibilities1. Recruitment and Manpower Planning- Coordinate hiring requirements with department heads and senior management.
- Prepare and publish job descriptions for required positions.
- Source candidates through job portals, references, consultants, LinkedIn, and other recruitment channels.
- Screen resumes, schedule interviews, coordinate with candidates, and maintain recruitment trackers.
- Support hiring for staff, plant-level roles, supervisors, engineers, operators, and administrative positions.
- Maintain manpower requirement reports and hiring status updates.
- Ensure timely closure of vacancies as per company requirements.
2. Employee Onboarding and Documentation- Manage the joining formalities of new employees.
- Collect, verify, and maintain employee documents.
- Prepare appointment letters, joining forms, ID cards, employee files, and HR records.
- Conduct basic orientation for new employees regarding company policies, attendance rules, reporting structure, leave rules, discipline, and safety guidelines.
- Coordinate with departments to ensure proper induction and role clarity for new joiners.
- Maintain updated employee master data.
3. Attendance, Leave and HR Operations- Monitor attendance, late coming, absenteeism, overtime, and leave records.
- Coordinate with department heads for attendance approvals and corrections.
- Support payroll inputs by providing accurate attendance and leave data.
- Maintain leave records, shift records, overtime data, and employee movement records.
- Track daily manpower availability and absenteeism trends.
- Ensure proper implementation of company HR policies and attendance discipline.
4. Employee Relations and Grievance Handling- Act as a point of contact for employee queries and workplace concerns.
- Support resolution of grievances in a fair and professional manner.
- Coordinate with supervisors, managers, and senior management to address employee-related issues.
- Maintain discipline on the shop floor and within office teams.
- Support conflict resolution and ensure proper communication between employees and management.
- Promote a positive, respectful, and professional work environment.
5. HR Compliance and Statutory Coordination- Coordinate and maintain records related to statutory compliance such as PF, ESIC, labour law documentation, contractor records, registers, and other applicable requirements.
- Work with consultants or compliance teams to ensure timely submission and proper documentation.
- Maintain employee records, registers, and files as required by law and company policy.
- Support audits related to HR, labour compliance, customer audits, and internal reviews.
- Ensure contractor labour documentation and attendance records are properly maintained.
- Keep management updated on pending compliance matters.
6. Employee Engagement and Retention- Support employee engagement activities, team events, welfare initiatives, birthdays, festivals, and employee recognition programs.
- Help improve employee motivation, retention, and workplace satisfaction.
- Identify repeated employee concerns and suggest practical improvement actions.
- Support communication between management and employees.
- Encourage a culture of discipline, accountability, and teamwork.
7. Performance Management and HR Systems- Support the implementation of appraisal forms, KRAs, KPIs, and review processes.
- Coordinate with department heads for employee performance feedback.
- Maintain appraisal records and employee review documentation.
- Track probation reviews, confirmations, increments, transfers, and role changes.
- Support the development and implementation of structured HR policies and systems.
- Help digitize HR data, employee files, attendance records, and reporting formats.
8. Training and Development- Coordinate training requirements with department heads.
- Maintain training calendars, attendance records, and training feedback forms.
- Support internal training related to safety, quality, discipline, 5S, workplace behavior, and company policies.
- Track employee skill development and training completion.
- Help organize external training programs when required.
9. Plant-Level HR Coordination- Maintain regular interaction with plant teams, supervisors, staff, and workers.
- Support manpower discipline, attendance monitoring, and daily workforce coordination.
- Escalate repeated absenteeism, indiscipline, or manpower shortage issues to management.
- Coordinate with production, quality, maintenance, dispatch, admin, and security teams for HR-related matters.
- Ensure HR presence and visibility at the plant level.
10. MIS, Reporting and Documentation- Prepare HR MIS reports on recruitment, attendance, absenteeism, attrition, manpower, overtime, compliance, and employee engagement.
- Maintain recruitment trackers, joining trackers, exit trackers, attendance reports, and employee databases.
- Prepare weekly and monthly HR reports for management review.
- Ensure all HR documentation is accurate, updated, and properly organized.
- Use MS Excel, Word, PowerPoint, and digital tools for effective HR reporting.
Qualifications and Requirements- Graduate or postgraduate degree in Human Resources, Business Administration, Commerce, Management, or a related field.
- Experience in HR operations, preferably in the manufacturing, automotive component, sheet metal, fabrication, engineering, or industrial sector.
- Strong understanding of recruitment, onboarding, attendance management, employee records, HR operations, and compliance coordination.
- Knowledge of PF, ESIC, labour compliance, contractor labour documentation, and HR registers will be preferred.
- Strong communication skills in Hindi and English.
- Good working knowledge of MS Excel, MS Word, PowerPoint, email, and HR documentation.
- Ability to coordinate with workers, staff, supervisors, department heads, and senior management.
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with maturity and integrity.
- Comfortable working in a plant/manufacturing environment.
Preferred Skills- Prior experience in automotive component or manufacturing HR.
- Experience handling plant manpower, attendance, contractor labour, and employee relations.
- Ability to manage recruitment for both staff and plant-level positions.
- Exposure to HR audits, customer audits, and statutory documentation.
- Strong Excel skills for HR MIS and reporting.
- Ability to draft HR letters, notices, policies, emails, and reports.
- Experience in employee engagement and retention activities.
