Job Description

We are seeking an experienced Senior HR Executive to support and manage a broad range of human resources and administration functions.

The successful candidate will be responsible for talent acquisition, employee lifecycle management, compensation and benefits administration, employee relations, HR operations, HRIS administration, learning and development, compliance, and office administration.

This role requires strong knowledge of HR processes and Singapore employment requirements, together with good communication, organizational and stakeholder-management skills.

Key Responsibilities

1. Talent Acquisition & Employee Lifecycle

Manage the end-to-end recruitment process, including job posting, sourcing, screening, interviewing, candidate assessment and selection.

Partner with hiring managers to understand manpower requirements and coordinate recruitment activities.

Source candidates through recruitment channels, including job portals, professional networks, career fairs and campus recruitment.

Coordinate internship and graduate recruitment programmes where required.

Prepare employment documentation and employment contracts in accordance with company policies and applicable requirements.

Manage the onboarding and offboarding processes for employees.

Coordinate work pass applications and related administrative matters for eligible foreign employees in accordance with applicable regulations.

Maintain accurate recruitment and employee records throughout the employee lifecycle.

2. Employee Relations & Engagement

Serve as a point of contact for employees on HR policies, procedures, benefits and employment-related queries.

Handle employee grievances, feedback and workplace concerns professionally and confidentially.

Support investigations into employee relations matters and ensure appropriate follow-up in accordance with company policies.

Assist management in the consistent application of HR policies and disciplinary procedures.

Organise employee engagement activities, town halls, company events and other initiatives that support a positive workplace environment.

Conduct employee feedback activities and surveys and assist with implementing appropriate follow-up actions.

3. Compensation & Benefits

Administer employee benefits, including annual leave, medical benefits, insurance and other employee welfare programmes.

Support the annual salary review, bonus and performance management processes.

Coordinate employee insurance renewals and related administration.

Support payroll-related activities, including government claims, tax-related submissions and other statutory or payroll administration matters.

Maintain accurate compensation and benefits records and ensure relevant information is updated in the HRIS.

4. Performance Management & Talent Development

Coordinate the end-to-end performance appraisal cycle, including timelines, documentation and follow-up.

Support managers and employees on performance management processes and related HR procedures.

Assist with talent management initiatives, job analysis and career development programmes.

Support the development and implementation of competency frameworks and career pathways where required.

Coordinate learning and development programmes based on organisational and employee development needs.

Administer relevant training programmes and support the submission of applicable government training grant claims.

5. HR Operations & HRIS

Maintain accurate and up-to-date employee records in the HRIS.

Administer and support the ongoing operation of the HRIS, including Darwinbox, where applicable.

Troubleshoot HRIS-related issues and coordinate with internal or external support teams to resolve system matters.

Generate regular and ad-hoc HR reports and assist with HR data analysis.

Maintain HR documentation and records in accordance with company policies and applicable requirements.

Review and update HR policies and procedures when required to reflect changes in business or regulatory requirements.

6. HR Compliance & Reporting

Ensure HR processes and practices are aligned with applicable Singapore employment legislation and company policies.

Support the preparation and submission of relevant reports and information to the Ministry of Manpower (MOM) and other regulatory authorities, where required.

Monitor changes in relevant employment legislation and HR requirements and highlight applicable updates to management.

Support internal and external HR audits and provide the required documentation and information.

Maintain proper records relating to employee documentation, HR processes and statutory requirements.

7. HR & Office Administration

Oversee day-to-day HR and office administration activities to support smooth business operations.

Coordinate office facilities, supplies, vendors and service providers.

Manage business travel arrangements and related administrative logistics where required.

Support company events and other administrative activities.

Provide administrative support for employees, including onboarding, documentation and work-pass-related coordination where applicable.

Assist with other HR and administration projects as assigned.

Requirements

Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.

5 years of relevant experience in human resources, preferably covering recruitment, employee relations, HR operations and administration.

Practical knowledge of Singapore employment practices and applicable employment legislation.

Experience managing end-to-end recruitment and employee lifecycle processes.

Experience in employee relations, performance management and HR policy administration.

Experience in compensation and benefits administration, including leave, insurance and other employee benefits.

Experience using HRIS platforms experience with Darwinbox or similar HR systems will be advantageous.

Proficient in Microsoft Office applications, particularly Excel, Word and PowerPoint.

Good understanding of HR reporting, documentation and record management.

Strong communication, interpersonal and stakeholder-management skills.

Strong organisational skills with the ability to manage multiple HR priorities and deadlines.

Able to handle confidential employee and company information with professionalism and discretion.

Detail-oriented, proactive and able to work independently with minimal supervision.

Able to collaborate effectively with employees, managers and internal stakeholders.
