Senior HR Executive – HR Operations & Payroll
Job Summary
We are looking for a hands-on and detail-oriented Senior HR Executive to manage end-to-end HR operations and payroll administration. This role requires someone who can independently handle the employee lifecycle, HR documentation, payroll inputs, HRMS management, and statutory compliance coordination with minimal supervision.
The ideal candidate should have strong operational discipline, payroll understanding, and experience managing HR processes in a fast-paced environment.
Key Responsibilities
- HR Operations & Employee Lifecycle
- Manage end-to-end employee lifecycle processes including onboarding, confirmation, role changes, and exit management.
- Coordinate new employee onboarding including documentation, induction, IT/asset coordination, and HRMS setup.
- Handle employee exit formalities including clearances, documentation, and coordination for full & final settlement.
- Prepare and issue HR documentation including offer letters, appointment letters, confirmation letters, increment letters, relieving and experience letters.
- Maintain employee personnel records and ensure accurate HR documentation.
- Payroll Administration
- Prepare and validate monthly payroll inputs including attendance, leave records, variable pay, reimbursements, and deductions.
- Ensure accuracy of statutory deductions such as PF, Professional Tax, and TDS.
- Verify payroll data before processing and ensure payroll closure within defined timelines.
- Maintain payroll records and respond to employee payroll-related queries.
- HRMS & Data Management
- Manage employee data and HR processes through the HRMS platform (Keka).
- Ensure accurate maintenance of employee records, leave balances, and attendance data.
- Generate HR reports and dashboards including headcount, attrition, and payroll inputs.
- Compliance & Policy Administration
- Maintain documentation required for statutory compliance including PF, ESI, gratuity, and Shops & Establishments requirements.
- Support statutory audits by maintaining organized HR records.
- Assist in implementing and communicating HR policies across the organization.
- Support POSH compliance and documentation where required.
- Employee Relations
- Address day-to-day employee queries related to HR processes, policies, and payroll.
- Maintain confidentiality in handling employee information and HR matters.
- Escalate sensitive employee concerns to senior HR leadership when necessary.
- HR Analytics & Reporting
- Maintain HR dashboards covering headcount, attrition, attendance trends, and payroll metrics.
- Generate monthly HR MIS reports for management review.
- Recruitment Coordination
- Coordinate interview scheduling and candidate communication.
- Maintain hiring trackers and candidate documentation.
- Support offer rollout and onboarding documentation for new hires.
- Employee Engagement
- Assist in organizing employee engagement initiatives, recognition programs, and team events.
- Support internal HR communication and employee engagement initiatives.
Mandatory Qualifications
Education
Bachelor's degree in Human Resources, Business Administration, or a related field.
Experience
- 4–6 years of hands-on experience in HR Operations or HR Generalist roles
- Experience handling payroll inputs and HR documentation
Required Skills
- Strong understanding of HR operations and employee lifecycle management
- Working knowledge of payroll processes and statutory deductions
- Experience managing HRMS platforms (preferably Keka)
- Strong proficiency in Excel / Google Sheets for HR data management
- Knowledge of statutory compliance such as PF, Professional Tax, Shops & Establishments
- Strong attention to detail and process orientation
- Good communication and stakeholder management skills
Preferred Experience
- Experience handling HR operations for 100+ employees
- Exposure to payroll processing or payroll coordination
- Experience working in startup or fast-growing organizations
